Viewing Search Results in Hit Lists
The result of a search request is shown as a hit list. Hit lists contain information about object properties and index data of the found search results. You can customize how the content looks and is displayed.
Hit List Views
You can choose between different layouts for the view of a hit list, which you can select via the header of a hit list in enaio® webclient and in enaio® webclient as a desktop application.
Displays the result of a search request in card form (see The Card View). The cards have a title consisting of the index data of the first configured field in the hit list configuration. The description of the cards is composed of two additional index data fields configured in the hit list configuration. The cards show the file type next to the object type icon.
Hit lists from full-text searches display the object type as the title, a text passage with the search term found in it, the quality and, if applicable, the file type. The cards in full-text hit lists are sorted by the quality of the hits.
Displays the result of a search request in table form (see The Table View). The table consists of static columns that provide information about object properties, and columns, which contain the index data of the found objects.
Hit lists from full-text searches also display a column with a text passage and the search term found within it, as well as a column containing the hit quality.
On a smartphone a truncated object list is displayed due to the limited screen space available on the device.
The display changes if the screen of the mobile device is less than 420 pixels in width or height.
The hit list is structured as follows:
The object type of the list entry is displayed on the left as an icon. The index data of the object returned during the search is located in the middle. On the right, the icon of a More actions menu is shown after each entry.
The maximum amount of index data possible is displayed according to the size of your mobile device’s screen. The index data of the object list that cannot be displayed on a vertical display is hidden. If you rotate your display horizontally, more index data will be displayed.
As a result of this, there are a number of differences when you are using the program on a smartphone:
-
Due to limited screen space, static columns in object lists (e.g., in hit lists, at filing locations, in the variant administration, and elsewhere) are hidden on smartphones. Likewise, the setting options for the static columns are not displayed in the user menu.
-
Text excerpts (Preview column) and the hit quality (Quality column) are not shown in the hit lists of full-text searches.
Types of Hit Lists
You will be shown different hit lists depending on the type of search:
The hit list of an object search only contains objects of the type selected for the search. Depending on the type of object search, these can be folders, registers, or documents.
The hit list of a full-text search may contain a combination of folders, registers, and documents. The descriptions in the column headers may therefore change in the table view, depending on which object you select in a mixed hit list. Hit lists from full-text searches also display a text passage with the search term found in it and the quality of the hit found.
Options to Customize Hit Lists
You can change the appearance of hit lists in the following ways:
-
In the table view, you can adjust the column width and sort, group, and filter the hit list.
-
In the card view, you can group and filter the hit list.
You can find out how to make changes directly in the hit list in Customizing Object Lists and in Object Lists.
-
The Hit list configuration dialog allows you to change the number of index data and basic parameter columns shown (see Hit List Configuration).
-
You can find the Hit list configuration dialog in the main menu in the Object search.
-
You can also find the Hit list configuration dialog in the Table view in the header of a hit list in the More actions menu.
-
You can configure whether static columns are shown or hidden in the settings in the user menu (see Changing How Static Columns Are Displayed in Object Lists).
Context Menu
Each entry in a hit list has a corresponding context menu. The functions offered to you in the context menu depend on the object type of the selected entry and the context. A reduced number of editing features are available in the context menu in offline mode.
You will find more information on the The Context Menu page.
Opening Filing Locations
Each entry in a hit list has a filing location in the enaio® filing system. This filing location is also called a location. To get to this location, you have the following options:
-
Using the Open location context menu function (see Open location).
-
Using the Show content context menu function (see View content).
-
By clicking or tapping on a hit list entry (see Open location).
Default Actions
The entries in a hit list can be linked to one of several different default actions. This default action gives you a faster, alternative method to access some functions from the context menu. Your administrator determines what default action is triggered.
You will find more information on the Default Actions page.
Hit Lists with One Hit
If a hit list generated by a search request has only one hit, then – if this hit is a document – one of the following 1-hit hit list actions is executed:
-
No action – the hit list is shown.
-
The index data is opened for editing.
-
The index data is opened for viewing.
-
The document is checked out and downloaded. In the case of image documents, a dialog opens for editing the content. In the case of W-Documents, the document will be downloaded immediately. An information dialog will be shown if the document is already checked out.
-
The document content is offered for download (requires the Export document contents system role).
-
The document content is offered for download as a PDF (requires the Export document contents system role).
-
The document content is offered for download as a PDF. In the case of image documents, each image is additionally marked with a watermark (requires the Print documents system role).
The 1-hit hit list action is defined by your administrator.
Viewing Search Results in the Preview Area
Document contents and object properties (index data and basic parameters) of an object marked in the hit list are shown in the preview area.
Click or tap the Details preview icon in the preview area to display the object properties (see Details Preview).
Click or tap on the Content preview icon in the preview area to view the document contents (see Content Preview).
If your enaio® system is configured accordingly, you can also show the content of a document in the Office 365 dashlet in the preview area in enaio® webclient and in enaio® webclient as a desktop application (see enaio® office-365-dashlet).
In enaio® mobile, open the preview area by
- tapping on a document in an object list (e.g., in a hit list, at a filing location, in the favorites area) (single touch).
- selecting an object (for example, folders, registers, and documents) from an object list and clicking the Show object function in the context menu.
The preview area will then move on top of the workspace.
On smartphones, you can only display the index data of folders and registers by using the Show object function in the context menu.
You can find information on how to use the preview area and the functions it offers in The Preview Area.
