Setting Up Workstations
There are a variety of options for customizing your workstation according to your individual needs and the requirements which arise when working together with other users.

Favorites
Use the favorites function to mark documents, folders, and tabs that you use frequently. The favorites will be displayed only to you. Favorites in enaio® client are synchronized with favorites in enaio® webclient , enaio® webclient as a desktop application, and enaio® mobile and vice versa (see Favorites). In enaio® webclient as a desktop application and enaio® mobile, you can use favorites to export documents, folders, and registers for working in offline mode (see enaio® webclient in offline mode ).

Portfolios
You can create portfolios. In a portfolio, you can combine documents, folders, and registers to meet your individual work requirements. This also includes documents from different cabinets. Public portfolios are accessible to all users, provided no restrictions have been entered in the security system (see Portfolios).

Notes
You can add notes to documents, registers, and folders. Notes can be created in the details preview.

Subscriptions
You can subscribe to documents, portfolios, registers, folders, and queries. Subscribed objects will be displayed in the inbox area whenever data for these objects is changed or where the query criteria of a subscribed query match an object (see Subscriptions).

Follow-ups
You can set a follow-up time for documents, portfolios, registers, and folders (see Follow-Ups).

enaio® shares
You can release documents for other users who have no or restricted access rights. The access rights that have been granted and a time period during which the share is valid are specified (see enaio® Shares).

enaio® coLab shares
You can use the optional enaio® coLab extension to make enaio® folders and registers and the objects they contain accessible to other users who do not have access to enaio®. enaio® coLab offers functions for controlling the access rights of these external users, allowing you to make enaio® documents available or import external documents (see coLab Shares).

Microsoft Office 365 shares
You can use the optional enaio® office-365-dashlet extension to edit Microsoft Office documents with other enaio® users in Microsoft Office 365 (see Collaborating on Editing Documents with enaio® office-365-dashlet).

Microsoft Teams shares
You can use the optional enaio® integration-for-microsoft-teams extension to edit enaio® documents in Microsoft Teams as shared files with other users who do not have access to enaio® (see enaio® integration-for-microsoft-teams).

Annotations
You can add annotations to image documents on different layers (private layers are accessible only to you, group layers to group members, and public layers to all users). For example, by highlighting or redacting text passages (see Annotations on Layers).

Preview annotations
You can add preview annotations to documents in the content preview. These preview annotations are accessible to all those users who also have access rights to the document (see Preview Annotations).

Saved searches
You can save and re-access queries. Queries are completed or empty search forms. Queries that have been saved by you can only be accessed by you (see Saved Searches).

SQL queries
SQL queries are searches which allow you to access data, regardless of what access rights you have or the filing system of enaio®. This can be made available by an administrator (see SQL Queries).

Links
Links are cross-references to other objects. The link allows you to quickly open the linked objects.
Links are accessible to all users, provided no restrictions have been entered in the security system (see Links).

Links to external applications
You can create links to external applications. You can let other users access your queries and links. Searches, links, and references to objects can also be placed on the public desktop where they can then be accessed by all users (see Links to External Applications).

Navigation
For rapid access, you can place frequently used search forms, searches, links to objects, portfolios, favorites, history, filing tray, and recycle bin and links to external applications on the navigation. The navigation elements can be arranged into groups for different work requirements. The group areas can be expanded and collapsed with a click of the mouse or by pressing the spacebar. The navigation can only be accessed by you (see Customizing the Navigation).

Public desktop
The 'public desktop' allows you to make your queries, links, and references available to other enaio® users. This function is only available to users with the corresponding system role (see Public Desktop).

Making changes via the settings
enaio® offers a wide range of configuration options; for example, you can change the settings for confirmation dialogs as well as the window display settings. These settings are applied every time you log in as a user on enaio® client. Choosing the correct settings in line with your requirements can help make your work much easier (see Defaults).
The administrator may deny you the right to customize your own settings. The administrator can also assign a profile to you and to other users. In the process, he or she specifies the configuration of the settings, the quick access toolbar, the object search, and the navigation area, and overwrites your personal settings if necessary.
