enaio® webclient in Offline Mode
enaio® webclient as a desktop application and enaio® mobile support working in offline mode in conjunction with the Basic authentication login procedure. To do this, the objects (folders, registers, documents) that you want to have available offline must first be tagged as favorites and transferred to the local device using the Synchronizing function.
The enaio® webclient browser application does not support offline mode.
If the connection to the enaio® server is lost, the desktop application of enaio® webclient and enaio® mobile automatically switch to offline mode. All areas except the Favorites area and the User menu in the main menu are disabled in the client. The favorites area is shown with an Offline objects icon in offline mode.
Index data, basic parameters, and the contents of objects (folders, registers, documents) can continue to be displayed and exported in offline mode if they were previously synchronized (see Synchronizing Objects and Making Them Available Offline). You can also create preview links from synchronized objects and copy them to the clipboard. Users of the desktop application of enaio® webclient can also print synchronized documents offline by clicking the corresponding option in the context menu. Other functions such as copying and moving, subscriptions, workflows, and search features are unavailable in offline mode.
In the case of W-Documents with variants, only the active variant is synchronized.
If you want to synchronize objects in enaio® mobile or in the desktop application of enaio® webclient, the Make favorites available offline option must be set in the settings dialog in the user menu. If the option is enabled, the Synchronizing function is available in the header of the favorites list.
You can find information on how to synchronize objects and make them available offline in Synchronizing Objects and Making Them Available Offline.
When you synchronize folders or registers, all filing structures and documents below the selected objects are transferred. This means that you can still access the filing structures and documents of the synchronized folders or registers, including all substructures, in offline mode.
If you want to edit synchronized documents in offline mode, you must export the document to be edited and save it locally. After editing the document with a locally installed application and saving the changes, you can check it in later when the connection to enaio® server is restored. Since a document is not checked out during export, you must add the edited document as a new variant.
You can find information on how to edit document content offline with external applications in Editing Document Content.
You can delete synchronized objects from your local device by unticking the Make favorites available offline option in the settings dialog. By doing so, all synchronized objects will be deleted, though they will still be marked as favorites.
Please note: If you use the Remove from favorites command to delete favorites in the context menu, any existing, synchronized data will also be deleted.
Deleting your profile in the login dialog also deletes the data of your synchronized items. The objects are then no longer available in offline mode.
This information is only displayed if the Make favorites available offline option is ticked in the settings dialog. The enaio® webclient browser application does not provide information about synchronized objects.
You can find the following information about synchronized objects in the desktop application of enaio® webclient and in enaio® mobile:
-
Synchronized objects column
The Synchronization column is shown in the favorites list in the favorites area and uses icons to show the status of a successful or unsuccessful synchronization.
-
Time of last synchronization
In the favorites area, you can find information about the current status and the time of the last offline synchronization in the footer of the favorites list.
-
Progress of an ongoing synchronization
During an ongoing synchronization, the progress of the synchronization is shown as a percentage in the footer of the favorites list in the favorites area. In addition, graphical animations of the Favorites icon in the main menu and in the Synchronized objects column indicate the progress of synchronization.
-
Synchronization overview
You will find the Synchronization overview in the More actions menu in the favorites area. The following information is displayed in the synchronization overview:
-
Storage usage for synchronized index data
-
Storage usage for synchronized index data
-
Available storage space
-
Number of documents to be synchronized
-
Failed documents
-
-
Incorrectly synchronized objects
You can access the Incorrectly synchronized objects list in the More actions menu in the favorites area by clicking or tapping on Review synchronization problems. This offers you a list of objects that were not fully synchronized, including an error category.
The Review synchronization problems function is only available if a synchronization failed.
Once a synchronization has been started, no additional synchronizations can be started. Likewise, a check is carried out when you close tabs, log out, or close enaio® webclient as a desktop application or enaio® mobile to determine whether a synchronization operation is running; a message to this effect is shown if this is the case. You then have the option to continue the synchronization by clicking or tapping on the Cancel button, or to abort the synchronization and log out by clicking or tapping on the Yes button.
As a general rule, synchronization is only carried out if a Wi-Fi connection exists. If you also want to use mobile data connections for synchronization, you must enable the Use mobile data for synchronization switch in the settings dialog in the user menu.
Settings for enabling and disabling the synchronization feature and for using mobile data connections are synchronized between enaio® webclient, desktop application of enaio® webclient, and enaio® mobile. That means, for example, settings changes made in enaio® webclient are applied the next time enaio® mobile is launched and vice versa.
The Internet connection must be lost in order to work in offline mode. Once the device is connected to the Internet, enaio® webclient as a desktop application or enaio® mobile switches to online mode and tries to connect to enaio® server. Having an Internet connection while working in offline mode is not supporting.
