The Hit List View

The results of a search will be displayed in a hit list of all objects that were found. The hit list view is divided into the areas:

The hit list presents the results of a search request in a table. You will receive several columns with metadata such as type, title, description, editors, etc.

The hits in a hit list can be weighted by the administrator according to the following criteria:

This option results in certain object types ranking higher in a hit list than other object types. The weighting is defined by the administrator and applies across the system.

This option is used when searching for a specific object type. Each object type can have its own weighting by field. The weighting is defined by the administrator and applies across the system.

This option is used for searches by catalog entries. Each catalog can have its own weighting by catalog entry. The weighting is defined by the administrator and applies across the system.

The appearance of this table can vastly differ, depending on the search, configuration of object types, or configuration of the hit list. This means that the view of a hit list always corresponds to the hit list configuration of the object type currently selected in the hit list.

You can also customize the appearance of the hit list by sorting, pinning, filtering, or by using further options (see Modifying Hit Lists). The changes can be saved (see Configuring Hit Lists).

If you select an object in the hit list, the properties and the content of the object will be displayed in the object area on the right-hand side of the screen. You can open the folder view by double-clicking an entry on the hit list (see The Folder View).

Double-click

  • Opens in the hit list the object in the folder view/object view that was clicked if the object was not filed in a folder.

  • Opens a dialog with a form for editing the table row. Depending on the configuration, the buttons for copying, saving, canceling, and deleting are offered.

Right mouse button

Opens the actions menu in the list area in hit lists.
Space Selects and deselects rows in lists.

Arrow key

← left
→ right

Jumps to the next column to the left or right in a list.

Tab key ↹

Jumps to the next column to the right in a list.

Shift+Tab
⇧ +↹

Jumps to the next column to the left in a list.

Jumps to the bottommost or topmost column in a list.

Ctrl+C Copies a selected cell.
Ctrl+Shift ⇧+C Copies a selected row.
Ctrl+Shift ⇧+Alt+C Copies all selected rows including the column titles.

Only the data that is displayed in the hit list will be copied. If necessary, change the display via the configuration menu in the header of the hit list.

The number of hits is shown in the footer of the hit list. You can scroll through the hit list or go to the start or end of the list using the buttons in the footer.

The object area shows all the properties and contents of the object that was selected in the hit list. It is divided into the object aspects:

Shows a summary of the most important metadata and object properties of an object, such as name, editor, status, number of versions, file size, etc.

Fields with links to other objects, such as links to the filing folder or reference links, may also be shown in the Summary aspect area, depending on the object type (see References). Click the folder link or the Reference icon Reference icon, for example, to access the filing location of the linked object.

If more than one version of an object exists, you can also click the underlined version number to access the version view. Here, you can compare the versions of an object with one another and restore older versions (see Object Versions).

The Metadata aspect area offers the option of editing the metadata of the selected object (see Editing Metadata), provided that:

  • you have the appropriate rights;

  • no other user has locked the object (see Locking Document Files);

  • the selected object is not a representation of a referencing object (see References).

The editing history of the selected object is shown in the History aspect area. It displays, for instance, what changes were made to an object, at what time, and by which user. You can filter the events of the editing history, if needed. You can also access the version view via the entries (see Object Versions).

The relevant links to other objects in yuuvis® RAD are shown in the References aspect area. Click a reference entry to show the filing location of a reference object. You can also use the Search icon Search icon or the Open in hit list button to view hit lists containing the reference objects (see References).

The Content aspect area offers a content preview of the selected object with numerous functions (see Content Preview). In the content preview, you can search the object, select and copy text, and download PDF attachments. You can also undock the content preview (see Hiding and Undocking Areas).

The Signature aspect area shows information about the signatures of document objects. The entries in the aspect area provide information about the status of a signature process or about the signature itself (see Signatures Aspect Area). The aspect area also provides users with the ability to control a signature process.

Aspect areas can be hidden by the administrator. Similarly, the order of the aspect areas can be determined by the administrator. Additional aspect areas can also be developed and integrated as company-specific.

Depending on the context, you also have a number of actions available in the header of the object area:

Update icon

Updates the preview of the object selected in the object area.

Favorites icon

Displays the favorite status of the selected object. Clicking the favorites icon allows you to add the object to your favorites or remove it from the favorites area (see Adding Objects to Favorites).
Download icon

Downloads the document file of the selected object in the original format to the local file system (see Downloading Document Files). This is displayed only if the object selected is a document file that has content.

Edit icon

Downloads a document file for editing (see Opening and Editing a Document File). This is only displayed if:

  • the object selected is a document file that has content;
  • you have the appropriate permissions to edit the file;
  • use of the installed yuuvis® RAD agent has been enabled in the settings (see Connecting yuuvis® RAD agent).

Actions menu icon

Opens the actions menu and, depending on the context, offers various actions for the object shown in the object area (see The Actions Menu).
Subscribed icon Indicates that a subscription is available for the selected object (see Creating Subscriptions and Deleting Subscriptions).
Follow-up available icon Indicates that a follow-up is available for the selected object (see Creating Follow-ups and Editing or Deleting Follow-ups).
Finalized icon Indicates that the selected object has been finalized (see Finalizing Objects).
Document locked icon Indicates that the selected object has been locked by you (see Locking Document Files).
Document locked icon Indicates that the selected object has been locked by another user.
 Link document 

The  Link document  button indicates that the selected object is a link document (see Object Versions).
 Open original context 

The  Open original context  button indicates that the selected object is an object referencing the folder (see References). You can click the button to view the filing location of the selected object.

Adjusting the Layout

You can change the layout of the areas (see Hiding and Undocking Areas). You can also change the arrangement of the aspect areas to your liking (see Object Aspects).
