The Folder View

If you double-click an entry in a hit list, the folder in which the object was filed appears. This view is also called the folder view. It shows an object in the context of its filing in the yuuvis® RAD filing system.

Document object types in your metadata can also contain links to the filing location, configuration permitting. These links can be found in the object area in the Overview aspect area. Clicking one of these links will open the folder view of the document location.

There are three parts to the folder view:

Structure area

The structure area displays the folder of the selected object in the shape of structure trees. The details displayed in the structure trees can be customized by the administrator to meet company-specific requirements.

The numbers after the tree items in the structure trees indicate how many objects in the folder match the specific selection criterion. You can narrow down the count of objects shown in the information area by using the filter in the header of the structure area.

Object structure tree

The top structure tree, that is, the object structure tree, provides a view of all objects filed in the folder. The tree items in the object structure tree filter the display of objects in the folder based on metadata. The relevant objects will be listed in the object list in the information area when you click a tree item in the object structure tree.

By default, the All objects entry in the object structure tree lists the object types that can be created in the folder. In addition to listing the object types, the folder’s objects can also be extracted by object property such as editor or editing period.

Reference structure tree

The lower structure tree, referred to as the reference structure tree, lists the objects that reference this folder. The reference structure tree displays the objects that reference the open folder. By default, the referencing objects listed in the reference structure tree are differentiated first by object type and then by ID reference field. The relevant objects will be listed in the object list in the information area when you select a tree item in the reference structure tree.

The referencing objects are not in the open folder. You can use the Open original context button in the object area to show the filing location of the referencing object.

Information area

The information area provides various views of the objects in the folder. By default, the folder view title area has buttons for the Most recent changes and Last viewed lists. When you call up the folder view for the first time, the Most recent changes list is displayed in the information area. You can change the type of view by clicking on the buttons in the title area or on elements in the structure area. You can change the order of the button via drag and drop, if needed.

When you call up the folder view for the first time or click the Most recent changes button, the information area displays the list of recent changes to objects in the open folder made by you or other yuuvis® RAD users. In addition, the count and the storage size of the objects filed in the folder are shown in the header of the information area. If you select one of these change entries using the mouse, then the aspects for the selected object are shown in the object area.

List of recently viewed objects

By clicking the Last viewed button in the title area of the folder view, you can display the objects in the information area that you last viewed in the content preview of this folder. The list of recently viewed objects can contain objects that are stored in the open folder as well as objects that reference the folder. You can see what type of object it is when you select it: For stored objects, an actions menu is available in the header of the object area, and in the case of referencing objects, the Open original context button is available.

When you select a structure element in the structure area, a list of the objects stored in the folder or the object references that refer to the folder is displayed in the information area.

When you select a tree item in the object structure tree, a list of the objects filed in the folder that matches the selection criteria of the tree item will be displayed. You can also access various actions for further editing the selected objects via the Actions menu icon Actions menu in the header of the information area (see Actions Menu).

When you select a tree item in the reference structure tree, a list of the objects referencing the folder that match the selection criteria of the tree item will be displayed. You can use the Open original context button in the object area to open the original context of the referencing object and edit the object there.

Company-specific customizations allow you to show views or add further ones.

Object area

The object area shows all the properties and contents of the object that was selected in the list of the objects in the information area. If you want to show the metadata of the opened folder, click the folder name above the structure tree.

Object aspects

The object area is divided into the object aspects:

Summary aspect area

Shows a summary of the most important metadata and object properties of an object, such as name, editor, status, number of versions, file size, etc.

Fields with links to other objects, such as links to the filing folder or reference links, may also be shown in the Summary aspect area, depending on the object type (see References). Click the folder link or the Reference icon, for example, to access the filing location of the linked object.

If more than one version of an object exists, you can also click the underlined version number to access the version view. Here, you can compare the versions of an object with one another and restore older versions (see Object Versions).

Metadata aspect area

The Metadata aspect area offers the option of editing the metadata of the selected object (see Editing Metadata), provided that:

you have the appropriate rights;
no other user has locked the object (see Locking Document Files);
the selected object is not a representation of a referencing object (see References).

History aspect area

The editing history of the selected object is shown in the History aspect area. It displays, for instance, what changes were made to an object, at what time, and by which user. You can filter the events of the editing history, if needed. You can also access the version view via the entries (see Object Versions).

References aspect area

The relevant links to other objects in yuuvis® RAD are shown in the References aspect area. Click a reference entry to show the filing location of a reference object. You can also use the Search icon or the Open in hit list button to view hit lists containing the reference objects (see References).

Content aspect area

The Content aspect area offers a content preview of the selected object with numerous functions (see Content Preview). In the content preview, you can search the object, select and copy text, and download PDF attachments. You can also undock the content preview (see Hiding and Undocking Areas).

Signatures aspect area

The Signature aspect area shows information about the signatures of document objects. The entries in the aspect area provide information about the status of a signature process or about the signature itself (see Signatures Aspect Area). The aspect area also provides users with the ability to control a signature process.

Aspect areas can be hidden by the administrator. Similarly, the order of the aspect areas can be determined by the administrator. Additional aspect areas can also be developed and integrated as company-specific.

Functions in the object area

Depending on the context, you also have a number of actions available in the header of the object area:

	Updates the preview of the object selected in the object area.
	Displays the favorite status of the selected object. Clicking the favorites icon allows you to add the object to your favorites or remove it from the favorites area (see Adding Objects to Favorites).
	Downloads the document file of the selected object in the original format to the local file system (see Downloading Document Files). This is displayed only if the object selected is a document file that has content.
	Downloads a document file for editing (see Opening and Editing a Document File). This is only displayed if: the object selected is a document file that has content; you have the appropriate permissions to edit the file; use of the installed yuuvis® RAD agent has been enabled in the settings (see Connecting yuuvis® RAD agent).
	Opens the actions menu and, depending on the context, offers various actions for the object shown in the object area (see The Actions Menu).
	Indicates that a subscription is available for the selected object (see Creating Subscriptions and Deleting Subscriptions).
	Indicates that a follow-up is available for the selected object (see Creating Follow-ups and Editing or Deleting Follow-ups).
	Indicates that the selected object has been finalized (see Finalizing Objects).
	Indicates that the selected object has been locked by you (see Locking Document Files).
	Indicates that the selected object has been locked by another user.
Link document	The Link document button indicates that the selected object is a link document (see Object Versions).
Open original context	The Open original context button indicates that the selected object is an object referencing the folder (see References). You can click the button to view the filing location of the selected object.

Adjusting the Layout

You can change the layout of the areas (see Hiding and Undocking Areas). You can also change the arrangement of the aspect areas to your liking (see Object Aspects).
