Internal Tray
If you want to file a document in enaio® but do not want to decide yet in which cabinet, folder, or register to place it or which document type to assign, you can temporarily save it in the internal tray of enaio® webclient. Only you can access the internal tray. For example, you can use this space to file documents that other employees are not supposed to be able to access yet.
Documents without a location in the enaio® filing system, for example, in the internal or external tray and in workflow files, are not searched in a search request.
Documents that you have transferred to the internal tray in enaio® webclient, in enaio® webclient as a desktop application, and in enaio® mobile are synchronized with the filing tray in enaio® client. This also applies vice versa for documents that are temporarily saved in enaio® client in the filing tray.
You open the internal tray by clicking the Internal tray icon in the main menu. The icon is not shown in the main menu in offline mode.
The internal tray consists of an object list and the preview area.
Preview Area
If you select a document in the object list, the content is shown in the content preview and the object properties and object history of the document are shown in the details preview. If the document has already been assigned to a document type, you can also create and edit preview annotations in the content preview. The details preview also shows completed workflows if these have transferred documents to the internal tray.
Dashlets, such as enaio® office-365-dashlet, can also be shown in the preview area. If a document type has been assigned to a document in the internal tray, enaio® office-365-dashlet is not only used to show the content of the document, it can also be edited (see enaio® office-365-dashlet). If you edit and save/check in again a document in the internal tray, the old document will be irretrievably overwritten.
The following applies if you are using enaio® mobile:
enaio® mobile does not support the use of dashlets.
Object list
You can sort, filter, and group the object list in the internal tray in the same way as other object lists.
You will find the Create icon beneath the object list. You can use it to transfer documents from the local file system to the internal tray. You can find information in Transferring Documents to the Internal Tray on the other ways to transfer documents into the internal tray.
Single or double-click actions are available based on the document type for documents to which a document type has already been assigned. Double-clicking a typed document can trigger various actions, also referred to as default actions. Your administrator determines what action is triggered. You can find information in Default Actions regarding the default actions that have been configured.
The following applies if you are using enaio® mobile on a smartphone:
On a smartphone a truncated object list is displayed due to the limited screen space available on the device. The display changes if the screen of the mobile device is less than 420 pixels in width or height. For this reason, the following restrictions apply regarding the use of the internal tray on smartphones:
-
The card view of the object list in the internal tray is not available in enaio® mobile on smartphones. In addition, the object list cannot be sorted or grouped.
-
You can open the preview area in enaio® mobile on smartphones by tapping a document in the internal tray.
-
The
Preview annotations function in the content preview is not supported on smartphones in enaio® mobile (see Preview Annotations).
