Carrying Out Searches in enaio® client
enaio® client offers numerous functions to search for folders, registers, and documents. You can combine these search functions to further narrow down the search result. This page gives you an overview of the available search options in enaio® client:
The default search in enaio® client:
-
Object search
Search via object type-specific index data forms (see Object Search and Search Forms).
-
Full-text Search
Search based on the full text (see Full-Text Index Queries and The Full-Text Search Input Field).
If you want to restrict users and user groups to saved searches, the default search can be disabled by the administrator for the users and user groups concerned using the Run default search system role. Next, all object types are hidden in the Object search area and all corresponding functions are hidden on the Start ribbon tab in enaio® client.
Alternatively, you can start queries using the basic parameters (see Searching via the Basic Parameters). This data can be found on the Basic parameters tab of an index data form. It may make sense to carry out a search using the basic parameters if you only know the date on which an object was created or who created it, or if you want to view all objects within a given time period.
You can combine queries for folders, registers, documents, and basic parameters (see Combined Queries).
Here is an example of a combined query: You are searching for the document type 'invoice'. Restrict the folder query to clients with a Berlin address. Use the basic parameters of the document type to narrow down the search to invoices which were issued before 23 October 2002. As a result you will be shown a hit list containing invoices which were issued before 23 October 2002 and posted to customers from Berlin.
If a search produces too many hits, you can also narrow it down when working in expert mode (see Queries in Expert Mode). In expert mode you can use logical operators to combine search terms.
You can search for portfolios according to various criteria, such as creator, subject, or public/non-public portfolios (see Searching for Portfolios).
SQL queries are searches which allow you to access data, regardless of what access rights you have or the filing system of enaio®. This can be made available by an administrator (see SQL Queries).
The optional component enaio® search NG allows you to search directly in Microsoft Outlook for e-mails managed in enaio®.
Saving Search Requests
You can save the following queries in enaio® client to use them again later (see Saved Searches):
-
Single queries
-
Combined queries
-
Full-text queries
-
Queries with variables
-
Searching for portfolios
-
Queries in Expert Mode
Searching via the basic parameters can only be saved in combination with other queries.
Saved searches can be added to the navigation (see Customizing the Navigation) and managed in the object search in folders (see Managing Queries in the Navigation and Object Search).
Queries that have been saved by you can only be accessed by you. You can also send them to other users (see Send e-mail ). In addition, the administrator and other users can provide you with saved searches (see Distributing or Applying Saved Searches).
Saved searches can be configured to run immediately when they are opened or can be made available for editing. You can also flag saved searches as a launch query. If you do so, the start query will open and is executed automatically when enaio® client is started (see Execute at startup ).
