Creating/Adding Folders and Files
Folders and files can be created and added to a project room in enaio® coLab. The project member rights and the object type determine who may created and add which objects and how (see Objects and Permissions). You can get notifications about added files (see The E-mails Settings Area).
Creating and Adding Folders
Folders can be created or uploaded in enaio® coLab as well as added to a project room in coLab using an enaio® client.

Project members with the Owner or Member role, as well as project members with a corresponding user-based role, can create folders to a project room in the files view. Project members with the Guest role are not allowed to create folders.

In enaio® coLab, open the project room in which you wish to create a folder by clicking the tile of the required project room on the
Project rooms home screen.
If you selected the Slim, Slim +, or Horizontal menu type, you first have to click the
Home icon in the main navigation before you can click the
Project rooms icon in the submenu that opens.
If you selected the Overlay menu type, you first have to click theMain navigation icon in the coLab header before you can click the
Project rooms icon in the main navigation bar that opens.

Open the files view in the project room by clicking the
Files icon in the main navigation.

Click the
Create folder icon in the header area of the directory structure.
The Create folder dialog will open.

Enter a name for the folder in the input field and then click the
Create button.
The folder is created and shown in the directory structure in enaio® coLab.
The folder will be shown in enaio® at the location of the root object.
Pay attention to the query depth defined in the project room settings in enaio® coLab when creating it. Adjust them, if necessary (see Changing Query Depths).
You will not be able to create any more folders if you have reached the query depth specified in the project room settings when creating folders. The Create folder icon is grayed out in this case.

Project members with the Owner or Member role, as well as project members with a corresponding user-based role, can upload folders, including files, from the local operating system to a project room in the files view. Project members with the Guest role are not allowed to upload folders.

Open the files view in the project room by clicking the
Files icon in the main navigation.

Click the
Upload folder icon in the header area of the directory structure.
The Upload folder dialog will open.

Upload the desired folder from your local file directory. The following options are available to you:

Upload icon to drag and drop the folder from your local file directory into the filing area of the dialog.

Click the
Upload icon and upload the desired folder from your local file directory in the selection dialog that appears.
The selected folder, including subfolders and files contained in the folder, are shown in the Upload folder dialog box.
You can only select and upload one folder at a time. The selected folder may contain subfolders and files; these will also be uploaded. Pay attention to the query depth defined in the project room settings in enaio® coLab when making your selection. Adjust them, if necessary (see Changing Query Depths). You will receive a warning in the dialog if the defined project room depth is exceeded. The affected subfolders and any files they contain are then not uploaded.

Additional information for files or folders
Depending on the configuration of your system, this field may have been prepopulated. You can enter text in this field, independently of this. This text is then automatically transferred to the information fields of all folders and files to be uploaded in the upload dialog. You can enter text with up to 200 characters including spaces.

Title*
You can enter a title description with up to 50 characters including spaces. The numbers above the input field indicate the number of characters you can enter and how many characters you have already entered.
If the field is prepopulated, you can change the content without affecting the prepopulation of other title fields.

If your system is configured accordingly, additional index data fields will be available to you. Click the
Drop down icon behind the entry for a file to be uploaded in order to show the due date and status fields.

Due date
Select a date in the calendar add-on.
The due date will be shown in the file view. The due date does not trigger any further actions in enaio® coLab. The due date has no relation to the deadlines when creating a task or to the dates on the project overview page.

Status
Select a status from the drop-down menu or click the
Remove icon following the status name if you do not want to have a status shown.
The status of the document is shown in the file view. Selecting a status does not trigger any further actions in enaio® coLab. It is not related to the status messages in a task list.
Fields indicated by an asterisk ("*") are mandatory.
Deactivate the checkboxes at the beginning of the upload entries if you do not want to upload one or more files or subfolders.

When you are ready to start with uploading, click the
Upload button.
The folder, including any subfolders and files, is uploaded to the project room.
Green progress bars will indicate the status of the upload process.

When you are finished with uploading, click the
Close button.
The uploaded folder, including any uploaded subfolders and files, is shown in enaio® coLab in the directory structure of the project room.
The uploaded folder, including any uploaded subfolders and files, will be shown in enaio® at the location of the root object.
Project room members who have accessed their project room settings and enabled the notification when uploading new files will receive an e-mail.
Depending on the configuration of your enaio® coLab system, it may happen that files are scanned for viruses when uploading them (see Scanning Files for Viruses). Under certain circumstances, this may lead to you having to wait for the virus scan to finish before you can continue working or to you receiving messages about the virus scan. Infected files will not be uploaded.

To add folders from enaio®, you as an enaio® user must have the appropriate rights to create folders in the location of the coLab root object.

Settings icon in the main navigation.

On the General tab, click one of the two links to open the location of the root object.

Users of enaio® client, enaio® webclient as a desktop application, or enaio® mobile should click Download reference file (*.os).
enaio® webclient does not support *.os reference files.
Depending on the browser configuration, a dialog will appear for filing an *.os reference file in the local file system or for editing using locally installed applications.
Click the Open button in the browser dialog.
As an alternative, you can save the *.os reference file in the local file system and double-click to open it there.
The enaio® application installed on your computer (enaio® client, enaio® webclient as a desktop application, or enaio® mobile) opens and shows the location of the root object.

Users of enaio® webclient should click Jump to enaio® webclient.
enaio® webclient opens in a new browser tab, and the location of the root object is shown.
Depending on the configuration of your operating system, you may need to log in to enaio®.

Create one or more folders at the open location below the root object.
The details of how to create a folder in enaio® are described in the respective user help (see enaio® client
or enaio® webclient
). As an alternative, you can also copy or move one or more folders to a filing location below the root object in enaio®.
Pay attention to the query depth defined in the project room settings in enaio® coLab when creating it. Adjust them, if necessary (see Changing Query Depths).
The folders created or added are shown in enaio® at the open location.
Folders created or added in enaio® are shown in the directory structure of the project room in enaio® coLab.
If you have added folders and files in enaio®, you may have to update the contents of your browser tab in enaio® coLab so that you can see the new objects. Click the Refresh icon in your browser to refresh.
Adding Files
enaio® supports file extensions containing more than ten characters and Unicode characters.
Please note that the maximum supported file size depends on a number of a different factors. This includes the file type, the file content, the specific use case, and the client used.
Files can be added to a project room in enaio® coLab in the following ways:

The Upload files dialog will open.

Upload the desired files from your local file directory. The following options are available to you:

). As an alternative, you can also copy or move one or more documents to a filing location below the root object in enaio®.

The documents created or added are shown in enaio® at the open location.
Documents created in enaio® or added to it are shown in the directory structure of the project room in enaio® coLab.
You can generally always transfer all document types from enaio® to enaio® coLab in this manner. For some document types, such as reference documents and documents with multiple locations, there are restrictions for further editing in enaio® coLab (see Objects and Permissions).
If you have added folders and files in enaio®, you may have to update the contents of your browser tab in enaio® coLab so that you can see the new objects. Click the Refresh icon in your browser to refresh.
If the features described above are not available to you, then it may be because you have been assigned a user-defined role that does not contain the corresponding rights. Contact a coLab administrator or the project room owner if you have any questions or if you need these rights.
