Editing Document Content
enaio® client offers different options for editing document content. Your permissions, object type, and object properties govern the extent to which you can edit document content.
It is necessary to make a distinction between audit-proof archived documents and non-audit-proof archived documents when editing the contents of documents:
Document contents that were archived in an audit-proof manner cannot be edited; only their index data can be changed. However, documents that were archived in an audit-proof manner can be copied, moved, deleted, or exported.
You can find information on how to approve a document for audit-proof archiving or change the archiving status of a document in Changing the Archiving Property.
Both the document content and the index data can be edited in documents that were not archived in an audit-proof manner.

Depending on the object type you need to keep in mind the following special situations when editing document content:
Image documents can consist of several document files. You can add and delete document files. The individual document files cannot, however, be edited like in an image editing program (see Changing Image Documents).
You can open and edit W-Documents (Windows documents) in the assigned external program. Since W-Documents are usually edited in the assigned W-application, W-Documents are locked when they are edited and must be checked in afterwards (see Editing W-Documents and Collaborate on Editing Documents with enaio® office-365-dashlet).
W-Documents have the following attributes:
-
They can be used to create templates.
-
You can create variants when making changes.
-
You can automatically import index data and text and image content from enaio® when using additional applications.
E-mail content cannot be edited. However, you can copy, reply, forward, etc. e-mails in enaio® client. You can also change the index data of e-mails (see Editing E-Mails).
For documents which are managed as cross-type reference documents, the document pages can only be edited at the original location (see Assigning Multiple Locations to Documents). Reference documents in object lists (hit lists, for example) are flagged with a special Arrow icon.
Documents without pages can be added to document content depending on the configuration of the object type and your rights (see Documents Without Pages). You can identify documents without pages in object lists (e.g., in hit lists or at a filing location) by the Document without pages icon shown in the Archiving status column.
W-Documents and image documents are retained in their current form, even if all document files are deleted. They do not become documents without pages.
