Editing or Forwarding Tasks
You can edit tasks from processes in the Inbox. You can open your inbox by clicking the Main menu icon > Inbox or via the Inbox icon on the yuuvis® RAD bar.
In the case of smaller monitors or browser windows (<600 pixels wide), the Favorites, In-tray, Inbox and User documentation icons are hidden in order to better display the yuuvis® RAD bar.
There are three parts to the inbox. You will find the message list with entries from subscriptions, follow-ups, and processes on the left-hand side of the inbox. The details of a selected message are displayed in the center, in the task area, and on the right-hand side of the inbox in the object area. A detailed description of the inbox can be found under Inbox.
Accepting Tasks
You first need to accept a task before it can be processed.
-
Open your inbox by clicking the Main menu icon > Inbox or via the Inbox icon on the yuuvis® RAD bar.
-
Mark a process in the notification list in the inbox.
By default, tasks in processes are indicated by a Process icon in the message.
The icons of the entries in the message list can be adapted to the specific system by the administrator.
The object aspects Task, History, and Process file are shown with detailed information on the marked process in the task area.
If there is an object in the process file, detailed information on the process file object is shown in the object area.
-
To do this, click the Accept task button in the Task aspect area.
The content of the accepted task is shown in the Task aspect area.
The list of recipients disappears and the other recipients can no longer see the process in their inbox.
The accepted task is shown in the message list in normal font and no longer in bold.
You can now continue to process the task and forward or return it.
Editing Tasks
Tasks that have been assigned to you or that you have accepted are shown in the notification list in normal font, while tasks that have not been accepted are highlighted in bold. Once you have accepted them, you can edit them in the task area. Input fields, process form tables, and buttons are available for editing tasks in the Task aspect area, depending on the respective process model. Here are a few examples of editing options:
If the task of a process contains record objects, these are shown in the Process file task aspect and in the object area.
The user is only shown the objects in the process file for which they also have read rights. It may therefore happen that the objects of the process file are not displayed to the user in the object area.
You can add further objects to a process file by copying the relevant object (see Copy Action). Then open the process file and link the copied object to the process file by pressing Add copied objects to process file. You can replace the existing record object at the original location if you drag and drop a file from your local filing system into the Process file aspect area.
You can delete a record object by clicking the Remove icon behind the record object entry in the process file. However, deleting the record object only deletes the link to the object at the original location.
The following applies to the deletion of a record object at the original location: Objects that are part of a process file are identified by a Process icon in the header in the object area. Users must explicitly confirm the deletion of these objects. The delete process checks whether the object is used in a process or not. If this is in use, the user is informed about this situation and asked if they still want to delete the object.
If a process model is configured accordingly, a process form table is available to you as the process owner in the Task aspect area after a task has been accepted. You can adjust the process form table if the process initiator has allowed it.
To add another work item to process form tables, click the + 'Insert new row' icon. In the window that opens, fill in the Task and Recipients fields on the right-hand side of the window. The available recipients will be shown in a list once you have entered at least two characters. You can also enter a deadline and the order of the work items in the No. field. Complete the entry by clicking the Add button.
The newly created row then appears in the process form table on the left-hand side of the window and, if it is marked, you can continue to edit it in the right-hand side of the window. You can also duplicate it by clicking the Add as new row button or delete it by clicking the Recycle bin icon. Work items in the process form table that have been forwarded cannot be edited.
You can click the Show content icon in the window header to view record objects in the content preview (and edit them, for example, if yuuvis® RAD office-365-dashlet is installed in your yuuvis® RAD system) without having to leave the editing window.
Once you have added the new row, close the editing window by clicking the Close icon in the window header. To permanently save the edit, click the Save button in the Task aspect area.
The Task aspect area ( 'Export spreadsheet data to CSV file', 'Import spreadsheet data from a CSV file') contains functions for exporting or importing the table data in the header of the process form table. You can also adjust the changeability of the process form table by other process participants in the Task aspect area.
In the object area, you can edit record objects just like any other object in yuuvis® RAD if a process file contains them. You can adjust the metadata of a record object in the Metadata aspect area and you can adjust references and signatures in the other corresponding aspect areas (see Object Aspects).
You can also edit the content of record objects directly in the inbox in the Content aspect area, for example, if yuuvis® RAD office-365-dashlet is installed in your system (see Collaborating on Documents in Microsoft Office 365). You also have further editing features available in the header of the object area (see Functions in the object area) and in the actions menu (see The Actions Menu), depending on the context.
Forwarding Tasks
You have a number of buttons for sharing, approving, confirming, forwarding, etc., available in the footer of the Task aspect area once you have accepted a task, depending on the configuration of the process. The buttons that are offered depend on the process model and are determined by your administrator. You can finish the work item by clicking one of these buttons. The process entry in the message list disappears and the process is forwarded to the next user or user group.
However, you also have the option of returning the task to the original editor or recipient by clicking the Return task button (see Returning Tasks).
Adjusting the Layout
You can change the layout of the areas (see Hiding and Undocking Areas). You can also change the arrangement of the aspect areas to your liking (see Object Aspects).
