Returning Tasks
You have various options for not accepting or returning tasks in processes. However, you first need to accept the task before you can return a task (see Editing or Forwarding Tasks). You then have the following options for returning tasks that you do not want to accept or are no longer able to edit.
Reporting Absence
If you are out of office (on vacation or a business trip, for example), your tasks can automatically be forwarded to one or more substitutes, which have been configured in yuuvis® RAD. For this, you need report your absence in the yuuvis® RAD system.
You can also report your absence if no substitute is assigned to you. Assigned tasks will then remain in your inbox while you are absent.
Only tasks that have not been accepted are forwarded to substitutes.
To report your absence or presence, follow these steps
-
Click your profile picture on the yuuvis® RAD bar, then click the Settings button.
-
Click Present or Out of office next to your user photo in the user area.
When you are out of office, your tasks will automatically be forwarded to all substitutes.
You can find a description of how to set up a substitute under Defining Substitutes. Go to Substitutes for more information on the function of a substitute.
If your presence status is set to Out of office, the system will inform you when you start yuuvis® RAD client and ask you whether you want to change the status to Present in a dialog box. Adjust the status by clicking the Change to present button.
Returning Tasks
However, you also have the option of returning tasks that you have accepted to the original editor or other recipients in various ways:
-
How to return a task
You can return an individual task by marking the corresponding task in the inbox in the message list and then clicking the Return task button in the task area. The Return task button is only available if you have previously accepted the task or if the task has been assigned to you. This function will return the task to all its original editors or recipients. The returned task is again displayed in the notification list in bold.
-
How to return all tasks
You also have the option to return all accepted tasks with one click, for example, in the event of vacation or illness. You can find the Return all accepted tasks action in the inbox in the header area of the message list in the Open task actions menu. The tasks you have accepted are not forwarded to your substitutes or returned to the original editor or recipient in contrast to the Out of office and Return task functions; instead, they are made available again to the user group with the same rights as you. The tasks you have accepted will then be visible again in the inboxes of the users in this group.
