Editing Metadata
Metadata is data that describes the properties and values of a business object in yuuvis® RAD. You can securely and quickly store, find, and identify business objects in the yuuvis® RAD filing system via this metadata.
Entries for metadata are made and maintained via fields in metadata forms. When creating objects you can edit metadata in yuuvis® RAD client in the in-tray (see The In-tray) and in the object view (see The Object View) in the Metadata aspect area.
You need appropriate rights to edit the metadata in the Metadata aspect area. Furthermore, the object must not be locked by other users for metadata processing (see Unlocking Document Files). If the object being edited is the representation of a referencing object (see References), you will need to go to the original filing location to edit the metadata (see Reference structure tree).
You can open metadata forms to edit them in the following ways:

Click the Main menu icon on the yuuvis® RAD bar.
The main menu appears.

Click the In-tray button in the main menu.
The in-tray appears.

Select an object in the in-tray in the objects to be filed list.
The object’s metadata form appears in the filing area.
It may become necessary to assign an object type or a document file to the object in the objects to be filed list before you are shown the metadata form (see Creating Objects).

Create or open a hit list.

Select an object in the hit list.
The aspects of the selected object are shown in the object area.

Select the Metadata aspect area in the object area by clicking the register title with the same name.
The Metadata aspect area will be shown with the metadata form in the object area.
You can also double-click an object in the hit list to open the object view or the folder view of the object in which the Metadata aspect area will be shown with the metadata form in the object area.

Create or open a hit list.

Select an object in the hit list.

Double-click the selected object to open the folder view.
If an object is filed in a general filing location (in the top layer in the yuuvis® RAD filing system), that is, if it was not filed in a folder, and does not have a context, then instead of the folder view, only the object area, without the structure area and information area, will be shown. This view is also called the object view (see The Object View).
If a user has read access to an object, but not to the folder in which the object was filed, then the user is only offered the object view for the object.
Continue with item 5 if the object view has been opened.

Select the corresponding object in the structure area or in the information area of the folder view (see The Folder View).
The aspects of the selected object are shown in the object area.

Select the Metadata aspect area in the object area by clicking the register title with the same name.
The Metadata aspect area will be shown with the metadata form in the object area.
If the fields in the metadata form are not editable, then the selected object may be an object referencing the open folder (see References). To edit the metadata of this object, you will need to go to the original filing location using the Open original context button in the header of the object area.
If two more users are editing the metadata of an object at the same time, the changes that are saved first will be transferred to the metadata form. yuuvis® RAD client shows the user a dialog box with the following options when saving the changes made by the other user:
The changes to the metadata made by the second user will be discarded.
The changes to the metadata made by the second user will be saved and added to the object as a new version.
The changes to the metadata made by the first user will remain in the version management as an inactive version.
The version view will open in a new browser tab. In the version view, you can compare both versions of the metadata changes (see Object Versions). Once you have compared them, you can return to the opened dialog and decide whether your metadata changes should be or not.
If you have edited and saved metadata, these changes will only be reflected in object lists – such as in hit lists or in the information area in folder views – after you reload the object lists. Click the Refresh icon in the header of the object list or press the F5 function key to refresh the view.
Aspect areas can be hidden by the administrator. As a result, the functions described may not be available to you.
