External Tray
The external tray manages documents that were created using various local applications, independent of enaio®, and that were transferred to the external tray in enaio® or in enaio® webclient as a desktop application for future filing in the enaio® mobile filing system. It is only available to users of enaio® webclient as a desktop application and enaio® mobile.
The browser application of enaio® webclient does not support external trays.
The following applies if you are using enaio® webclient as a desktop application:
Microsoft Office (Word, Excel, or PowerPoint) and desktop application of enaio® webclient or Microsoft Outlook and enaio® Office Add-In NG must be installed if you want to use the external tray in the enaio® Outlook Add-In NG.
Documents opened for editing in Microsoft Office can be transferred to the external tray using the enaio® Office Add-In NG.
The following applies if you are using enaio® mobile:
To use the external tray in enaio® mobile, use the “Share” or “Send to” functions of the apps installed on your mobile device.
You can find information on how to transfer documents from enaio® webclient as a desktop application or enaio® mobile to the external tray in Transferring Documents to the External Tray .
You open the external tray by clicking the External tray icon in the main menu. The icon is only shown if the external tray contains documents. The number displayed next to the icon indicates how many documents are currently in the external tray.
If you select a document in the external tray, the following editing features are available in the context menu:

Opens a menu for renaming the object selected in the external tray. |

File in opened location |
Files the selected document in the open filing location. If there are multiple open filing locations, the document is placed in the filing location of the active tab. Only available if a location is open. |

Check in as document |
Checks the selected document back into the enaio® filing system. Displays a list of all checked-out documents and all checked-out variants. The list of checked-out documents is sorted in descending order by date, i.e., the last object that was checked out is at the top. |

Add as variant |
Adds the selected document as a variant to a document object in enaio®. This feature is only available to users of the desktop application of enaio® webclient if they want to add a document as a variant to the enaio® filing system in the enaio® Office Add-In NG (also see Editing Document Content and/or Filing Documents from the External Tray). |

Remove from external tray |
Deletes the selected document from the external tray. It is not possible to recover the deleted object. Objects deleted from the external tray are not moved to enaio® webclient's recycle bin. |
The external tray of desktop application of enaio® webclient and the external tray of enaio® mobile work separately from each other. Documents in the external tray of desktop application of enaio® webclient are not shown in the external tray of enaio® mobile – and vice versa. Please also note that separate external trays are created for each user and device; external trays of other users and those found on other devices are not displayed or synchronized.
The documents temporarily stored in the external tray are not lost when enaio® webclient as a desktop application or enaio® mobile closes. They remain in the external tray until they have been filed in the filing system of enaio®. However, if you delete the login profile in the desktop application of enaio® webclient or in enaio® mobile, then the documents temporarily stored in the external tray will also be deleted.
