Deleting Documents

The administrator can specify whether users can or cannot delete documents based on the document type. This also applies to all documents in your filing tray. In order to delete archived or checked-out documents, you will need a special system role. Documents can also be deleted if other users are editing the index data.

In the settings, you can define whether or not you will be prompted to confirm you want to delete documents in a confirmation dialog (see 'Confirm' area ). If you delete several documents at a time, the confirmation dialog will refer to all selected documents.

Deleted documents are moved to the recycle bin. Data will remain in the recycle bin until the documents are deleted there. Data in the recycle bin are not included in queries. Objects can be restored from the recycle bin (see Recycle Bin).

To access the recycle bin, you will need the appropriate system role. Access rights and system roles are assigned by your administrator.

Deleting Documents with Multiple Locations and Deleting Reference Documents

Documents found at multiple locations cannot be deleted from the hit list. If you attempt to delete a document with multiple locations from the hit list, you will be notified that the document is found at multiple locations. Go to the document's locations and delete it there (see Deleting Documents with Multiple Locations).

If you delete a Reference document – icon Reference document, then only the location data at that specific location will be deleted (see Creating References to Documents). All other locations are retained. Deleted reference documents cannot be restored.
