Creating Document Files from a Template

yuuvis® RAD client 9.x

The administrator can disable the template function. If the template function is disabled, then the template object type will not be offered for searches in yuuvis® RAD client and no templates can be created, edited, or shared and no documents can be created from templates.

If you want to create an object with a document file, you can use templates when creating the document file. Depending on the configuration, certain metadata (e.g., title, date, author, etc.) may be automatically imported into predefined fields on the template for the new document file.

To create a document file from a template via the yuuvis® RAD bar, follow these steps

Click the Create object icon on the yuuvis® RAD bar.

The Create object menu containing all object types you can create appears.

Select the desired document type by clicking it with the mouse.

The in-tray with the newly created object appears.

You have the following options in the filing area of the in-tray:

	Upload file: Uploads a file from your Windows file system and adds it to your object as a document file.
	Select template: Offers a selection of templates to use in creating a document file.
	Without file: Creates your object without a document file. You can still add a document file later on.

Select the Select template option.

You have the following options for different templates with a content preview in the filing area of the in-tray.
Select a template and confirm your selection by clicking the Apply template button.

You can delete the created object from the in-tray by clicking the Recycle bin icon. The template is not deleted.

The metadata area opens.
Enter the corresponding metadata in the metadata area.

Mandatory fields are indicated by an asterisk.

Metadata fields that are prepopulated by the object type definition are indicated by a df. Fields that are marked with an ex extract the metadata from the metadata of the document file (see Prepopulated Metadata Fields). The Metadata section describes your options for maintaining metadata in yuuvis® RAD (see Editing Metadata).
Exit the creation process by clicking File or File and open.

The document file is filed in the yuuvis® RAD filing system.

To create a document file from a template via drag and drop or copy and paste, follow these steps

Drag a file from your Windows file system and drop it onto the yuuvis® RAD client workspace.

Alternatively, you can copy a document from your file system to the Windows clipboard using the keyboard shortcut Ctrl+C and paste it to yuuvis® RAD client at a location of your choice using the keyboard shortcut Ctrl+V.

The Upload file(s) filing menu appears.
Drop the file onto the filing menu.

You will see several different filing destinations, depending on the context:
- File in <name of tree item>
  
  Files the file with indexing in the folder that is currently open. This option is only offered when the folder view is open (see The Folder View).
- File in the general filing location
  
  Files the file in the main folder (root) of the yuuvis® RAD filing system. The document file can be moved to a different filing location later (see Moving Document Files).
Click the button for the desired filing location.

The in-tray with the newly created object appears.
Select the template object type from the list of permitted object types in the in-tray.

The metadata area opens.
Enter the corresponding metadata in the metadata area.

Templates were created by the administrator or by other users with appropriate rights. Refer to Creating Templates, Managing and Editing Templates, and Sharing Templates for a description of how to create, edit, manage, and share templates.

The templates that you can use or edit can be found using the search dialog by searching for the object type 'templates'.
