Absences and Substitutes
To use workflows, users require the system role Use workflow.
Absence
If you are out of office or absent on holiday, on a business trip, due to illness, or for some other reason, it is best to log off in enaio®. This will allow other users with the same roles and appropriate rights to start workflows and execute (personalized) work items, and take over follow-ups that normally only you would have access to.
You can set your status to present or out of office via the User menu in the main menu (see Reporting Absence and Presence).
Substitutes
If no other user has the same role or all users with the same role are absent, you will require a substitute to take over the above-mentioned work processes.
To be able to set up substitutes, users require the Client: Workflow substitute configuration system role.
You can set up your substitutes via the user menu (see Setting Up Substitutes). To activate the substitute function, you will need to report your absence in the system (see Reporting Absence and Presence).
In enaio®, it is not possible for a user to take over the substitution for a substitute. This also means that work processes taken over by a substitute are not forwarded to that person's substitute.
You or your administrator can set up substitutes. As a result, the settings you made may possibly be changed again by the administrator and vice versa.
Work items that you have been assigned as a substitute are not marked with a Substitute icon in the
My incoming messages inbox in enaio® webclient and in enaio® webclient as a desktop application.
