Starting Workflows

To use workflows, users require the system role Use workflow.

You start workflows in enaio® webclient via the context menu or in the Startable workflows icon Startable workflows inbox, depending on the type of workflow:

  • You can start workflows without objects in the Startable workflows icon Startable workflows inbox via the context menu of a selected workflow, or by double-clicking (enaio® webclient and enaio® webclient as a desktop application) or tapping twice on the workflow (enaio® mobile). You can open the Startable workflows icon Startable workflows inbox via the Inbox icon Inbox icon in the main menu.

    The following applies if you are using enaio® mobile on a smartphone:

    On smartphones, start a workflow in the Startable workflows icon Startable workflows inbox by tapping on the Start workflow – icon icon after the selected workflow model.

  • You can start workflows with objects from many locations in enaio® webclient, enaio® webclient as a desktop application, and enaio® mobile via the context menu of one or more selected objects, such as in a hit list, in the navigation area of a folder or register, in a workflow file, or in the follow-up inbox. The selected objects (for example, documents, registers, or folders) are added to the workflow file at startup.

    Depending on the business processes, workflow models can only refer to very specific object types. If an enaio® user starts a workflow with an object, only the permitted workflows are shown for selection. Only objects of the permitted types may be added to the workflow file. This also applies to workflows that were started without an object reference and to which objects should be added to the workflow file in later work items.

Starting Workflows from Outlook

Workflows can be configured such that they can be launched from Microsoft Outlook. The prerequisite for this is the installation of enaio® Outlook Add-In NG in Microsoft Outlook (see enaio® Outlook Add-In NGExternal link icon). In addition, workflows for launching from Microsoft Outlook must be configured accordingly by your administrator.

If the corresponding prerequisites have been met, you can launch workflows in Microsoft Outlook via the Start and Message ribbon tabs. At startup, Outlook objects and data are then transferred to the workflow or stored in the workflow file. The further steps of the workflow are executed in enaio® webclient (My incoming messages icon My incoming messages inbox).

Starting Workflows from GroupWise

enaio® webclient as a desktop application also supports the launch of workflows from GroupWise. The prerequisite for this is the installation of the enaio® GroupWise Add-On NG in GroupWise (see enaio® GroupWise Add-On NG External link icon). In addition, workflows for launching from GroupWise must have been configured accordingly by your administrator.

If the corresponding prerequisites have been met, you can launch workflows in GroupWise via the Mailbox ribbon tab. At startup, GroupWise objects and data are then transferred to the workflow or stored in the workflow file. The further steps of the workflow are executed in enaio® webclient as a desktop application (My incoming messages icon My incoming messages inbox).

The work items that have been started are displayed in the My incoming messages icon My incoming messages inbox, where they can be further edited and forwarded. You can open the My incoming messages icon My incoming messages inbox via the Inbox icon Inbox icon in the main menu.

Depending on the configuration of the workflow model, the first work item of a workflow that has been started can also be displayed in other users’ inboxes.

Workflows that you started are also displayed in the Current workflows icon Current workflows inbox because you, as workflow initiator, are automatically the process owner. You can open the Current workflows icon Current workflows inbox via the Inbox icon Inbox icon in the main menu.

In the Current workflows icon Current workflows inbox, you can view workflow details (see Viewing Workflow Details) or assign work items to other users or roles (see Assigning Work Items).

The following applies if you are using enaio® mobile on a smartphone:

You cannot view workflow details on smartphones. The assignment of work items to other users or roles is supported on smartphones.
