Forwarding Work Items
To use workflows, users require the system role Use workflow.
A workflow model consists of several work items. The work items appear in the inbox My incoming messages and can be forwarded from there. You can open the
My incoming messages inbox via the
Inbox icon in the main menu.
To forward a work item, you have the following options:
-
By opening and editing it
Open a work item marked in the inbox
My incoming messages by double-clicking (enaio® webclient and enaio® webclient as a desktop application), tapping (enaio® mobile), or selecting the
Open function from the context menu.
How to edit a work item is described in Editing Work Items.
With a single click or tap of the
Forward icon, the work item is forwarded.
-
Using the
Forward function in the context menu
Individual or multiple work items can be forwarded using the
Forward function in the context menu, without needing to be opened by the user. The context menu function
Forward starts an automated process that personalizes previously non-personalized work items and checks for any required actions. If personalization is not possible or user interaction is required, the corresponding work items are not forwarded.
During the automated forwarding process, do not use the keyboard or mouse, move the mouse, or switch views. Otherwise, the process will stop, and all unprocessed work items will remain assigned to you in the inbox
My incoming messages. Users cannot actively cancel the process.
The user receives a detailed message about the work items that were not forwarded. Unforwarded work items remain as personalized processes in the inbox
My incoming messages.
Right-click (enaio® webclient and enaio® webclient as a desktop application) or press and hold (enaio® mobile) to open the context menu of the search form. The context menu can also be opened on smartphones by clicking the More actions icon found on each line.
Forwarded work items are removed from the list of work items to be processed in the inbox My incoming messages and displayed in the inbox of the next workflow recipient.
Recipients of Forwarded Work Items
The workflow model defines which users can carry out the next work item. If you can carry out the following work item yourself, the workflow form can be configured to continue to the next step immediately, in which case the following workflow form opens right away.
On the workflow form, you can use the Workflow recipient add-on to specify other users and roles that can execute a subsequent work item.
Completing Workflows
If not all of the individual work items for the workflow have been finished, you will receive an error message containing information about the work items that remain to be completed.
Depending on the workflow model, you may need to simply acknowledge the confirmation of notice or enter your password to complete a work item.
Typeless documents and documents without filing locations in the workflow file will be lost when the last work item is forwarded.
