The Table View

enaio® webclient 11.0

Users can switch between the Table view and the Card view using the More actions menu in the header of an object list. The view type of object lists can be changed and saved.

The table view displays an object list in table form. The table consists of static columns that provide information about object properties, and columns, which contain the index data of the found objects.

Static Columns

Static columns contain the name of the object type, as well as icons showing the archiving status, the access status, the presence of notes, and so forth. Which of these columns are shown depends on your settings in the user menu (Changing How Static Columns Are Displayed in Object Lists).

Static columns are also displayed context-specific. This means that no 'Signatures' column will be shown in a hit list of folders or registers, for example, because folders or registers cannot be signed.

Meaning of the icons in the static columns

Icon	Status	Description
Object type column
The icons of the relevant object types in use are shown in this column. The icons in the object type status column are defined by the administrator. They can differ from system to system.
File format column
Shows the file format as an icon and with greater detail as a tooltip (Word/docx, for example). If the file format is unknown, a ? icon is displayed. The icons in the file format status column are defined by the administrator. They can differ from system to system. No icon is displayed for the following objects: Documents without pages Can be identified by the Document without pages icon seen in the Archiving status column. Reference documents Can be identified by the Reference document icon seen in the Archiving status column. Image documents with several files in different formats.
Archiving status column *
Shows whether a document is approved for archiving or has already been archived.
	Not approved for archiving	The document is not intended for archiving. This property can be changed by selecting Set as archivable in the context menu (see Changing the Archiving Status).
	Approved for archiving	The document is intended for archiving. This property can be changed by selecting Set as not archivable in the context menu (see Changing the Archiving Status). Once a document has been archived in an audit-proof manner, it is no longer shown with an archiving icon.
	Without pages	The document contains no content (see Documents Without Pages). Users can add files if this is permitted by the administrator.
	Reference document	The document is a reference document (see Reference Documents).
Checked out column *
Shows whether a document has been checked out and by whom and/or whether variants exist.
	Checked out by me	You have opened the document for editing. Other users cannot edit the content (also see Checking a Document In and Out).
	Checked out by others	The document is opened for editing by another user (also see Checking a Document In and Out).
	This document has variants	The document has variants. The icon is yellow if you have opened the active variant for editing and red if the active variant is opened by another user for editing (also see Managing Variants).
Links column *
Shows whether and how many links an object has and/or whether a folder or register has been shared by means of enaio® coLab.
	Links	Indicates that this object is linked to other objects in enaio® (see Internal Links). If you hover the cursor over the icon, a tooltip will show you the number of links.
	The object is located in the coLab project room	Indicates that there is a folder or register in a enaio® coLab project room which has been shared (see coLab Shares). This provides external users who do not have access to enaio® with access to documents stored in these folders or registers.
	The object contains links and is located in the coLab project room	Indicates that there is a folder or register in a enaio® coLab project room which also has links.
Signature column *
Shows whether a document is signed.
	Signature	The current version of the document is signed.
	Signature	An earlier version of the document is signed.
Notes column *
Shows whether an object contains notes. You can view notes in the details preview (see Details Preview).
	Note	The object contains notes (also see Managing Notes). If you hover the cursor over the icon, a tooltip will show you the number of notes.
Preview annotations column *
Shows whether a document contains preview annotations. You can view preview annotations in the content preview (see Content Preview).
	Preview annotation	The object contains preview annotations (see Preview Annotations). If you hover the cursor over the icon, a tooltip will show you the number of annotations. The Preview annotations function in the content preview is not supported in enaio® mobile.
Favorite or Synchronization column
Shows whether an object is tagged as a favorite by the user. The column icon changes in offline mode in enaio® webclient as a desktop application and in enaio® mobile (see enaio® webclient in Offline Mode). The Synchronization icon is shown instead of the Favorite icon. Likewise, the icons and their meaning in the column change in offline mode. You can view the list of synchronized objects and objects set as favorites in the favorites area of the main menu (see Favorites).
	Favorite	Indicates that this object has been added to the favorites.
	Synchronization complete	Indicates in offline mode that the object that has been set as a favorite has been fully synchronized.
	Synchronization error	Indicates in offline mode that the object that has been set as a favorite has not been fully synchronized.

The following applies if you are using enaio® mobile:

The display of tooltips is not supported in enaio® mobile.

Options to Customize Tables

You can change the appearance of the table in the following ways:

Resetting the Object List Layout

You can reset the layout to the default settings via the More actions icon in the title bar of an object list by clicking or tapping on the Reset layout icon in the drop-down menu. This resets layout settings such as the column width, column order, sorting, and grouping. Filter settings and settings in the hit list configuration are retained.

The following applies if you are using enaio® mobile on a smartphone:

The Reset layout icon Reset layout function is not available on smartphones.

Context Menu

Each entry in an object list has a corresponding context menu. The context menu provides a range of different functions you can use to edit the selected object.

Open the context menu of a selected entry in an object list in enaio® webclient and enaio® webclient as a desktop application by right-clicking in the table view.

The following applies if you are using enaio® mobile and enaio® webclient on a tablet or smartphone:

Open the context menu in enaio® mobile and enaio® webclient on tablets and smartphones by pressing an entry and holding it in the object list.

The context menu can also be opened on smartphones by clicking the More actions icon found on each line.

Multiple Selection

To select multiple objects in the table view in enaio® webclient and in enaio® webclient as a desktop application, use the navigation keys (arrow keys, Page up/down keys, Home, and End keys) and the Enter key or the left mouse button while holding down Ctrl or Shift.

Holding the Ctrl key allows you to select several lines that are not immediately next to each other. Holding the Shift key pressed will select all the rows between the first and last selections. Confirm your selection, which will be highlighted afterwards, using the Enter key or the left mouse button (while holding the Ctrl or Shift key).

The number of selected entries is displayed in the header area next to the total number of entries in the object list.

The following applies if you are using enaio® mobile and enaio® webclient on a tablet or smartphone:

Object lists also contain a static column with checkboxes on touchscreen devices in enaio® mobile and in enaio® webclient. These checkboxes are used to select multiple entries in the object list. Commands from the context menu are applied to all hit list entries selected by ticking the matching checkbox.

The static column with checkboxes is hidden on smartphones due to the limited screen space available on such devices. Therefore, it is not possible to select multiple entries in object lists on smartphones.

The display changes if the screen of the mobile device is less than 420 pixels in width or height.

Default Actions

Your administrator can configure a default action for document objects. The default action gives you an alternative method to access some functions from the context menu.

Double-click an entry in an object list while in the Table view to trigger a default action.
