Managing Notes
Notes can be added to any object (folders, registers, documents) in enaio®. You create notes in the details preview of a selected object.
To view, create, and edit notes, users require the system roles Open notes and Edit notes.
In object lists (e.g., in a hit list, at a filing location, in the favorites area), objects with notes are indicated with a Note icon. If you hover the cursor over the icon, a tooltip will show you the number of notes.
Please note that static columns may be hidden. You can find information on how to show and hide static columns in Changing How Static Columns Are Displayed in Object Lists.

Select an object (document, register, or folder) that you want to add a note to (e.g., in a hit list, in the inbox, or at a filing location).
The object will be shown in the preview area.
The following applies if you are using enaio® mobile:
In enaio® mobile, open the preview area by
- tapping on a document in an object list (e.g., in a hit list, at a filing location, in the favorites area) (single touch).
- selecting an object (for example, folders, registers, and documents) from an object list and clicking the Show object function in the context menu.
The preview area will then move on top of the workspace.

Click or tap on the Details preview icon in the preview area.
The index data of the selected object is displayed in the preview area.

Click or tap on the Note icon in the menu bar in the preview area.
The area for creating new notes is displayed.

Click or tap on Add new note.
A note text input field is displayed.
- Enter your note and click or tap on the Create note button.
The note is created.
A Note icon is added to the corresponding object in the hit list, in the inbox, or at the filing location.

Select the object (document, register, or folder) whose note you want to edit (e.g., in a hit list, inbox, or filing location).
The object will be shown in the preview area.
The following applies if you are using enaio® mobile:

- selecting an object (for example, folders, registers, and documents) from an object list and clicking the Show object function in the context menu.

Click or tap on the Note icon in the menu bar in the preview area.
The notes list is shown.

Click or tap on the Edit icon next to the note you want to edit.

Edit the text and click or tap on the Save changes button.
The changes will be applied.

Select the object (document, register, or folder) whose note you want to delete (e.g., in a hit list, in the inbox, or at a filing location).
The object will be shown in the preview area.
The following applies if you are using enaio® mobile:

- selecting an object (for example, folders, registers, and documents) from an object list and clicking the Show object function in the context menu.

Click or tap on the Details preview icon in the preview area.

Click or tap on the Note icon in the menu bar in the preview area.
The notes list is shown.

Click or tap on the Delete icon next to the note you want to delete and press OK on the confirmation dialog.
The note will be deleted.
When the relevant object no longer contains any notes, the Note icon in the hit list, in the inbox, or in a filing location is deleted.
Notes in enaio® are not the same as preview annotations. Notes are managed in the details preview of a selected object, whereas preview annotations are managed in the content preview. You can attach notes to folders, registers, and documents, while preview annotations can only be attached to documents (see also Preview Annotations).
