Editing Tasks
Tasks can be edited by any project member in the tasks view. You can open the tasks view by clicking the Tasks icon in the header of enaio® coLab.
It is possible that the tasks view and the task area on the project’s home screen have been hidden in the settings of enaio® coLab (see The General Settings Area).
In the tasks view you have the following editing options for tasks:
You can change the title and description of tasks by clicking the Pencil icon in the task table. An input form will appear. There, you can change the title and the description of the task. The number above the input fields indicates the number of characters you have already entered.
Click the Save changes button to conclude the entry. The changed title is immediately shown in the task table in the Task column. If the changed task was assigned to a project member, the changed title will also be shown on the project's home screen of this project member.
You can clear or reassign assignments to tasks in the tasks view in the following ways:
-
Using the and icons in the task table
For a task that has already been assigned, click the 'Remove assignee' icon in the task table. After being prompted by a confirmation dialog, the assignment of the task is cleared and replaced by a 'Assign user' icon.
Clicking the 'Assign user' icon in the task table enables you to assign the task to another project member in the Assign project member input form.
-
Using the Pencil icon in the task table
As an alternative, you can clear or reassign assignments to tasks by clicking the Pencil icon in the task table. The Assign project member input field will appear. There, you can clear or reassign the assignment to the task.
If the assignment of a task has been changed and has been assigned to another project member, the new responsibility is shown in the Assigned to column in the task table and on the project’s home screen of the relevant project member. This project member will also be informed of the assignment to the task by e-mail, provided this has been configured accordingly in the user settings of the project room (see User settings > E-mails).
It is not mandatory to assign a task to a project member.
No e-mail address is stored in enaio® coLab when registering via social media accounts such as Google, LinkedIn, and Microsoft. For this reason, notifications such as those regarding assigned tasks are not possible.
You can change the due dates of tasks by clicking the Pencil icon in the task table. An input form will appear. There, you can change or clear the due dates of tasks, since it is not mandatory to specify a due date.
Click the Save changes button to conclude the entry. The changed due date is immediately shown in the task table in the Due on column. If the changed task was assigned to a project member, the changed due date will also be shown on the project’s home screen of this project member.
It is not mandatory to assign a due date to a task.
You can mark tasks as completed in the task table by activating the corresponding checkbox in the Completed column.
If you activate a checkbox, the corresponding task is crossed out. Function icons, such as 'Assign user' or Pencil, are deactivated and shown in gray.
If you have set one or more tasks to Completed, you can hide them from the task table by clicking the Hide completed button. Clicking the Show all button will show all tasks, both completed and uncompleted, again. The currently active view is indicated by the highlighted button.
If a task that was assigned to a project member is marked as completed, then this task will no longer be shown on the project’s home screen of the relevant project member.
You can delete tasks in the tasks view in the following ways:
-
Delete tasks in the task table
Clicking the Recycle Bin icon in the task table will clear the selected task from the task table after a confirmation dialog. Assigned tasks are no longer shown on the project’s home screen of the respective project members after the tasks have been deleted.
-
Delete tasks with the task group
Deleting the task group means that all tasks assigned to this task group are also deleted.
Clicking the Recycle Bin icon in the task group list will delete the selected task group, including all tasks contained in the group, after a confirmation dialog.
If project members were assigned tasks from the task group, then the task group and the tasks contained in it are no longer shown on the project’s home screen of these project members after the task group has been deleted.
Deleted tasks cannot be restored.
The last editing date is shown in the Modified on column in the task table.
