Assigning Work Items
To use workflows, users require the system role Use workflow.
Users require the Client: Workflow process administration or WF admin: Start system role in order to assign work items.
As the process owner, you can assign work items to other users and roles in the Current workflows inbox. Current personalizations, also from other users, are cleared (see Personalizing Work Items and Clearing Personalizations). You can open the
Current workflows inbox via the
Inbox icon in the main menu.

-
Click or tap on the
Inbox icon in the main menu.
The navigation area with the inboxes will be shown.
-
Click or tap on
Current workflows in the navigation area.
The Current workflows inbox now opens.
-
Select the required workflow and open the context menu.
Right-click (enaio® webclient and enaio® webclient as a desktop application) or press and hold (enaio® mobile) to open the context menu of the search form.
-
Click or tap on the
Assign work item function.
Alternatively, the
Assign work item function is also available if you:
-
first click or tap on
Details in the context menu and open the
More actions menu in the open details view.
-
double-click or tap twice to open the details view of the work item and open the
More actions menu in the open details view.
The User selection dialog opens.
If the work item has already been personalized, the Clear personalization dialog will open. Clear the personalization by clicking Yes. It is not possible to clear the personalization if the work item has not been personalized.
-
-
On the one side of the User selection dialog, you will see the
User and
Groups of the system that you can assign the work item to. The workflow participants who already see the work item in their inbox are shown on the other side of the dialog.
-
Select the required users and/or groups in the User selection dialog and move them using the arrow key or by double-clicking onto the other side of the dialog.
-
Finally, click or tap on Apply.
The list of workflow participants is updated.
The work item is displayed or removed for the relevant participants in the My incoming messages inbox.
You can also view the updated list of workflow participants in the workflow details under The following users see the work item in their inbox (see Viewing Workflow Details).
You cannot assign workflows in the My incoming messages inbox that are not listed in the
Current workflows inbox to other users or groups because you are not a process owner.
