enaio® outlook-web-add-in

enaio® 11.10 »

enaio® outlook-web-add-in supports all enaio® clients. An enaio® client does not need to be installed or open on the device on which the new Microsoft Outlook is running.

enaio® outlook-web-add-in enables you to file e-mails from the new Outlook in enaio®. The function is integrated into the reading area of Outlook using an add-in. You can find information on how to add an add-in in the new Outlook in Microsoft’s product help (see Microsoft-Support Link extern - Symbol).

Since the Microsoft Outlook app on Android or iOS does not support enaio® outlook-web-add-in, the instructions described here cannot be performed on mobile devices running Android or iOS. E-mails that were stored with enaio® outlook-web-add-in under Microsoft Windows in enaio® are also available in enaio® mobile.

To file an e-mail in enaio® using enaio® outlook-web-add-in, follow these steps

  • Your administrator needs to provide enaio® outlook-web-add-in for the new Outlook and add you to the group of authorized users.

  • enaio® outlook-web-add-in needs to be integrated in the new Outlook.

  • If you have not yet logged in to enaio®, you will need your enaio® login data.

  1. In the new Outlook, select the message that you want to file in enaio®.

  2. Click (or tap) the enaio® icon enaio® logo in the reading area of the selected e-mail.

If you have integrated enaio® outlook-web-add-in into the new Outlook, the logo is located in the header of the reading area. Click the Apps icon Apps icon in the header and in the menu that appears; click the enaio® icon enaio® logo File in enaio® if it is not shown in the header.

The enaio® outlook-web-add-in is opened and shown next to the reading area.

  3. Depending on your system configuration, you may still need to log in to enaio®. You can tell whether you are logged in or not, for example, by whether or not you can select a filing location.

Click or tap the Login icon Login icon to log in.

    The login window opens.

  4. Enter your enaio® user name and the password in the corresponding fields of the login form and then click (or tap) the Login button.

You will be logged in to enaio® and can now file e-mails with the add-in in enaio®.

  5. You now have the following options for filing the e-mail:

    1. Tray of enaio® client/internal tray of enaio® webclient

If you are not yet sure where you want to permanently file the e-mail in enaio®, you can temporarily save it in the tray of enaio® client or in the internal tray of enaio® webclient and move it later to the desired location. To do so, click (or tap) the Send to tray button.

The e-mail is transferred to the enaio® filing tray without any additional steps.

The e-mail is assigned in Microsoft Outlook to the category Created in enaio®.

    2. Recent locations

You can file the e-mail in one of the ten most recently used filing locations. In the Recent tab, select the desired location.

    3. Favorites

You can file the e-mail in one of the locations that you have previously marked as a favorite in enaio®. In the Favorites tab, select the desired location.

  6. You can use the Search icon Search field to shorten the length of lists. With a click or tap of the Refresh locations icon Refresh locations icon, you can refresh the display.

Once you have selected a location, it will remain preselected in the selection box for the next eight hours. This means that even if you exit or close the add-in and open it again, the last selected filing location will be displayed. The complete selection list is only shown again when you delete the preselected filing location from the add-in field.

Depending on the selected filing location, the field OBJECT TYPE displays the available object types for filing the e-mail.

  7. If several object types are shown, select an object type and click (or tap) the Send to location button.

The object types that are shown depend on the configuration of the filing location. The configuration is defined by your administrator. Ask your administrator if you do not know which object type to select. If no object type is offered, no e-mail can be filed in the selected filing location.

The e-mail is filed and indexed in enaio®.

The e-mail is assigned in Microsoft Outlook to the category Created in enaio®.

E-mails that have failed to be filed in enaio® are categorized as Error creating in enaio® in Microsoft Outlook. If further filing attempt is successful, the categorization in Microsoft Outlook is automatically changed accordingly.
