In enaio® client, users can create internal references. Internal references are reference files with the file extension .os, which

  • can be sent in e-mails.

  • can be integrated into Windows applications (e.g., Microsoft Word, Excel, PowerPoint).

  • can be stored in the file storage system.

Clicking a reference file will open the locally installed enaio® application (enaio® client, enaio® webclient as a desktop applicationExternal link – icon, or enaio® mobile External link icon; enaio® webclient does not support this function) and display the relevant object.

Creating Internal References

enaio® client offers the following options for creating internal references:

  • via the context menu

    The following functions for creating internal references are available in the context menu:

    1. Context menu > E-mail icon E-mail > E-mail reference icon Reference

      Creates an e-mail and an internal reference of the marked object and places it in the e-mail attachment.

    2. Context menu > ActionsClipboard > Reference

      Creates an internal reference of the marked object and places it in the Windows clipboard. You can save the reference file to your file storage system with the keyboard shortcut Ctrl+V or by pasting it into a Windows application, such as Microsoft Word or PowerPoint.

  • via the ribbon

    You can also create internal references via the Hit ribbon tab or Folder ribbon tab using the

    • E-mail icon E-mail > E-mail reference icon Reference function in the Actions ribbon group.

    • Menu ribbon Folder+ Hit - Clipboard icon Clipboard > Reference function in the Actions ribbon group.

Internal references are supported differently in the various enaio® clients.

Opening Internal References

If enaio® client (enaio® webclient as a desktop application or enaio® mobile also support internal references) is installed on the workstation, you can double-click internal references to open them. Internal references can be used to call the following objects in enaio®:

  • Documents, folders, and registers (the filing location is opened in the case of folder and register references; the document is opened with document references)

  • Saved searches

  • Searches with parameters

  • Portfolios

You can use the following keyboard shortcuts to further control the call of an *.os reference file:

  • In the case of documents, folders, and registers, press and hold the Shift key to open the index data form.

  • With document references, the document is opened as a read-only file if you press and hold down the Ctrl key.

  • In the case of document references, the filing location is opened if you press and hold Ctrl+Shift.

The recipient of an internal reference has to have the appropriate rights to the document type or the location in order to open the received document.
