The Advanced Settings Area
The Advanced settings area is divided into the following areas:
-
Query depth
The query depth shows how many folder or register levels below the root object (see The Root Object) that documents in enaio® can be synchronized with the project room. Here project room owners and project members with a corresponding user-defined role have the option of changing the query depth.
Standard and guest project members only see the area as deactivated.
Changing the query depth has the following consequences:
Increase query depthIf you increase the query depth, the project room members are shown the corresponding folder and register structures below the root object, provided they were created in enaio®. Due to the necessary first-time synchronization of the folder and register structures, it may take a while for the directory structures and documents to be shown.
If directory structures and documents that were previously no longer shown when the query depth had been decreased become visible again through the increase in the query depth, the links in tasks and messages that are linked to documents as well as the URLs of shared documents will work again.
Decrease query depthIf you decrease the query depth, the corresponding directory structures and documents below the root object are no longer shown and synchronized to the project room members. The directory structures and documents are not deleted.
The links in tasks and messages that are linked to documents that can no longer be shown or edited due to the decrease in the query depth no longer open the filing location, but they do allow a preview of the document.
The URLs of shared documents that can no longer be shown or edited due to the decrease in the query depth are no longer valid.
-
Export of project room contents
Here project room owners and project members with a corresponding user-defined role have the option of downloading the project room contents. You can determine which content (messages, tasks, project members) should be downloaded by de/activating the corresponding checkboxes. Clicking the 'Download project room details as PDF' icon opens a dialog for saving the export file to the local file system.
-
Deleting Project Rooms
Here project room owners and project members with a corresponding user-defined role have the option of deleting their project room. Clicking the Delete project room button will delete the project room in which you are currently. Before deletion, you need to confirm the deletion command in a confirmation dialog. It is not possible to restore a project room and its contents.
Standard and guest project members will not see the Delete project room button.
When deleting a project room, the following is deleted:
MessagesAll messages in the project room are deleted. It is not possible to recover deleted messages.
FilesAll files and directory structures in the project room in enaio® coLab are deleted. The mirrored files and directory structures in enaio® are not deleted.
TasksAll tasks in the project room are deleted. It is not possible to recover deleted tasks.
MembersThe permissions of all members of the project room will be deleted. However, the profiles of the members and their permissions to participate in other project rooms are retained.
Before deleting a project room, check that all important files and information have been backed up.
coLab administrators can also delete project rooms on the overview page (see Overview of the Project Rooms).
If the features described above are not available to you, then it may be because you have been assigned a user-defined role that does not contain the corresponding rights. Contact a coLab administrator or the project room owner if you have any questions or if you need these rights.
