Creating Subscriptions

You can subscribe to objects (e.g., folders, registers, and documents) in enaio®. If changes have been made to the subscribed object, you will be automatically notified. The subscribed objects are shown in the Subscriptions icon Subscriptions inbox once the object has been changed.

When setting up the subscription, you can select who to notify about the following changes:

  • Index data modified

  • Content changed

  • Location added

  • Document moved

  • Register moved

  • Object deleted

You can also select whether a subscription is valid for you and/or other users.

Only users with the system role 'Manage subscriptions' can create, modify, and close subscriptions for other users.

  1. Select an object (document, register, or folder) you want to subscribe to (e.g., in a hit list, in the inbox, or at a filing location).

  2. Open the context menu.

  3. Click or tap on the Object subscription icon Subscribe icon in the context menu.

    The settings dialog for subscriptions will open.

  4. Select the settings for your subscription:

    • Index data modified: You receive a message if the index data of an object has been modified.

    • Content changed: You receive a message if the content of a document has been changed.

    • Location added: You receive a message if a filing location has been added to a document.

    • Document moved: You will be shown a message when a document is moved to another location.

    • Register moved: You will be shown a message when a register is moved to another location.

    • Object deleted: You receive an e-mail if an object has been deleted. Specify an e-mail address for subscription notifications.
    E-mail notification

    After you have ticked the checkbox, you can enter e-mail addresses for the notification. Several e-mail addresses can be separated with commas, semi-colons, and spaces. A maximum of 255 characters is allowed.
    Create for

    • Myself: You'll be notified about changes to the subscribed object via the enaio® inbox.

    • Others: You can assign the subscription to one or multiple enaio® users or groups via a selection dialog. You also have the option to require that the user click or tap to acknowledge subscriptions and, if desired, also enter their login password.

    • Nobody: Select this option if you only want an e-mail notification.
    Information The text you enter here will be displayed in the enaio® inbox or in the e-mail subject line.
  5. Finally, click or tap on Save.

The subscription for the object is set up.

Information about objects where there is a notification subscription regarding the deletion process is provided exclusively by e-mail.

The enaio® webclient dashboard shows how many subscription notifications are listed in the Subscriptions icon Subscriptions inbox. Unread subscription notifications are highlighted to indicate that they have not yet been read.
