Sharing Objects
You can assign read access to a certain document or folder to other users who do not have this read right by using the Share action. The Read object type right is valid until you remove it.

You as the sharer require the 'edit' right for the corresponding object type.

In order to use the shared read permission, the selected users need the Available object type right for the object type of the shared object; for folders, they also required this right for the document types these folders contain. Conditions on object type rights are evaluated.

The relevant object type must be configured for sharing.
When sharing, you can decide whether you want to grant read rights for a document or folder. With a folder, you also have the option of deciding whether all the documents stored in it are involved in the sharing or solely the folder.

Click an object that you are allowed to edit.
This can be a folder or document in a hit list or filing location.
To select a folder in a location, click the folder name in the folder view header.

Click Actions >General > Share.
Alternatively, you can click the right mouse button to open the actions menu.
The Share dialog opens.

In the dialog, enter the desired users or user groups with whom you want to share the object.
Remember that you will receive all users and user groups that are stored in the system in the user selection dialog, regardless of whether they have the Available object type right for the object type. It may therefore happen that the shared objects still cannot be read.

If you selected a folder and opened the Share dialog, then you will see the Include documents option in addition to the user selection field. Enable this checkbox if you want to share both the folder and the documents stored in it. If the checkbox is not selected, then the selected users will only be able only access the folder.

Click Save.
The object is made available to the selected group of users.

Click an object that you are allowed to edit.

Click Actions >General > Share.
The Share dialog opens.

In the dialog, remove the desired users or user groups with whom you would no longer like to share the object.

Click Save.
The object will no longer be made available to the corresponding user group.
