enaio® Shares

enaio® client 12.0 »

The sharing function in enaio® client makes it possible to share documents with other enaio® users who have no or limited access rights to the document. The access rights that have been granted and a time period during which the release is valid are specified.

Share functions will vary based on the user's system roles:

  • All users

    Any user can use the Start ribbon tab > Objects > Menu ribbon Start - My shared docs - icon My shared docs to open a list of documents that have been shared with them.

  • Users with share rights

    Users with the system role (85) Client: Share documents can share documents and open a list of the documents they have shared through View ribbon tab > Areas > Menu ribbon Start - Docs shared by me - icon Docs shared by me, where they can also manage their sharing settings.

  • Users with administrative share rights

    Users with the system role (86) Client: Manage sharing options can open a list of all shares via View ribbon tab > Areas > Menu ribbon Start - All shared docs - icon All shared docs and revoke shares created by other users.

You can open the list of documents that have been shared with you via the Start ribbon tab > Objects > Menu ribbon Start - My shared docs - icon My shared docs.

Status icons in list Menu ribbon Start - My shared docs - icon My shared docs indicate whether you can only display or also edit the index data and whether you can view or additionally edit the content.

Deletion rights and rights to annotations for image documents cannot be granted via document shares.

Documents shared with users who can access them only through the share are displayed exclusively in the Menu ribbon Start - My shared docs - icon My shared docs list. They do not appear in hit lists, portfolios, or locations. Corresponding subscriptions and follow-ups to shared documents are also not shown in inboxes.

Document shares are valid throughout the specified time period. On the last day, the document share is shown in red and an icon appears in the status bar.

You can access the document based on the access rights you were granted via the context menu.
