Editing Index Data

The index data of documents in enaio® coLab, which are based on the coLab upload type (see coLab upload type), can be edited.

To edit the index data of documents, follow these steps

Project room owners and project members with a corresponding user-based role can rename files in enaio® coLab. Standard project members and project members with the Guest role are not allowed to rename files in enaio® coLab.

  1. In the Files icon Files view, click the More actions icon More actions icon of the file you want to rename.

    The More actions menu opens.

  2. In the More actions menu, click the Index data icon Index data icon.

    You do not have the right to rename files if the Index data icon Index data icon is grayed out.

    The Index data dialog opens.

  3. The dialog now offers you the opportunity to change the following index data:

    • Title*

      You can enter a title description with up to 50 characters including spaces. The numbers above the input field indicate the number of characters you can enter and how many characters you have already entered.

      If the field is prepopulated, you can change the content without affecting the prepopulation of other title fields.

    • Info

      You can enter a description with up to 200 characters including spaces. The numbers above the input field indicate the number of characters you can enter and how many characters you have already entered.

      If the field is prepopulated, you can change the content without affecting the prepopulation of other information fields.

    If your system is configured accordingly, additional index data fields will be available to you. Click the Drop down icon Drop down icon behind the entry for a file to be uploaded in order to show the due date and status fields.

    • Due date

      Select a date in the calendar add-on.

      The due date will be shown in the file view. The due date does not trigger any further actions in enaio® coLab. The due date has no relation to the deadlines when creating a task or to the dates on the project overview page.

    • Status

      Select a status from the drop-down menu or click the Remove icon Remove icon following the status name if you do not want to have a status shown.

      The status of the document is shown in the file view. Selecting a status does not trigger any further actions in enaio® coLab. It is not related to the status messages in a task list.

    Fields indicated by an asterisk ("*") are mandatory.

  4. When you are finished, click the Save changes iconSave changes button.

The index data changes are transferred to enaio® and shown in the enaio® coLab file view.

The index data described above can also be changed by users in enaio®.
