List Catalog

List catalogs are catalogs from which users select a value and transfer it to the catalog field.

The following configuration options are available for list catalogs:

  • Multi-selection: Users can select multiple values and transfer them to the catalog field. The values are separated by semicolons.

  • Multilingual list catalogs: Each value can be assigned a language-specific display value for each included language.

  • List catalogs with list entries: A list entry can be assigned to each value and is additionally displayed in a second column. The value is transferred to the catalog field.

  • Icon catalog: An icon can be assigned to each value. In hit lists and locations, objects are not identified by the default icon, but by the icon assigned to the value.

Creating List Catalogs

Create list catalogs by selecting the List or List (multilingual) entry in the Catalog row of a text field's properties window.

The List tab is displayed.

On the tab, enter the list values line by line. A new row is added using the ‘+’ button or the Ins key. List values are moved up or down using the arrow keys or using the keyboard shortcut ALT+Arrow. Use the Del key or the delete button to delete rows.

The list values in the open catalog in clients are displayed in the order shown or, if you select the Sort checkbox, in alphabetical order.

Search Entries

Values that have the character '*' at the end of the row are only shown for the query, and not for newly created entries. This allows you to mark values that you no longer want to allow for new entries but still need for searching and editing.

When editing existing objects in clients, the value is not displayed in the list but can be entered manually.

List Catalog with Multiple Selection

If you mark the Multiple selection checkbox, then the user can adopt multiple values from the list for the catalog field. Imported values in the catalog fields are separated by semicolons. Multiple selection is not possible for multilingual lists.

Multiple selection is not possible for several database field types, such as date fields and time fields.
If multiple selection is possible, then the individual list entries cannot contain semicolons or plus symbols.
The '*' placeholder cannot be used for searches in clients, either automatically through the settings or by entering it manually. The '*' placeholder leads to unexpected search results.
Special values such as '#NULL#' combined with other values also lead to unexpected search results.

Multilingual List Catalogs

Multilingual list catalogs can be assigned language-specific values for display for each value. The button at the end of the row opens a dialog in which you can enter language-specific display values for all included languages.

When creating an item, all language-specific values are prepopulated with the technical value.

You can reconfigure existing list catalogs as multilingual list catalogs via the Properties window. Existing values become technical values.

List Catalogs with List Entries

List entries that are to be displayed in a second column in addition to the value are defined using the following structure:

<Value>|<List entry>

As a separator use the 'pipe' character (|). The list entries following the 'pipe' character are displayed in the second column of the list but are not transferred to the catalog field.

For example, you can comment on individual values or provide abbreviations in addition to the values.

For multilingual list catalogs, you enter this structure using the dialogs for the language-specific values.

The character 'pipe' (|) must be used for the first list entry. It is optional for the following list entries.

If you want to sort list catalogs containing a value and a list entry, you can do this in the open catalog based on the value in the first column or the list entry in the second column. The value of the first column is set to (SORTCOL=0) by default. The sorting can be placed on the list entry of the second column: SORTCOL=1.

You can use the keyboard to navigate in the open catalog. Navigation is only possible via the values in the first column (KEYSELCOL=0, default), only via the list entries in the second column (KEYSELCOL=1), or via values and list entries (KEYSELCOL=2).

The automatic suggestions list for entries in the text field always shows the values and is independent of these properties.

Icon Catalog

When you select the 'List,' 'Tree,' or 'Hierarchy' catalog for a text field, the 'Icon catalog' property field is also added to the properties dialog. With this property you can assign icons to catalog entries.

In hit lists and locations, objects are not identified by the default icon, but by the icon assigned to the value.

Users can display these icons as a static column.

Icons in multilingual catalogs always apply to all languages.

On a form, only one text field can be assigned the property 'Icon catalog'.
Multiple selection is not possible with icon catalogs.

On the List tab, you will find the Icon… button for icon catalogs.

Use the Icon... button to open the Icon assignment dialog. There, select the desired icon for the selected list value.

If you reference the icon catalog, then the entries can only be edited in the original icon catalog.

The list icon is not shown in the W-Document variant administration by default. List icons can be shown instead of the archiving status icon by adding the following entry to the as.cfg file:

[SYSTEM]
USESYSICONINVARDLG=0

The value '1' switches back to archiving icons.

The as.cfg file is located in the \etc directory in the data directory.

Reference Catalog

You can assign a list catalog to the catalog field using the Reference button which you already created for a different text field.

The reference dialog displays all text fields with list catalogs from the same object definition. Select a text field to display the list in the window.

The list can be edited. Changes are applied to all catalog fields which reference the list. The changes are applied immediately. For references to icon catalogs, you can only make changes in the original icon catalog. The reference source will be displayed.

If the form containing the catalog field you are referring to is open and you save changes when closing the form, the catalog data is written to the database.

Click the OK button to create a reference for the current catalog field to the list catalog of the selected catalog field.
