Sending Objects as E-Mail Attachments
You need the Client: Send content as e-mail system role for the Send e-mail function.
You can send archive objects, folders, registers, and documents as e-mail attachments. Documents can either be sent as an internal reference or in the file format used. As an internal reference, the document can only be viewed if enaio® client is installed on the workstation. Folders and registers can only be sent as internal references.
You can find the Send e-mail function in the context menu of the marked object or in the Hit ribbon tab and Folder ribbon tab.
Sending a document as an internal reference from the user's filing system is not supported. To send documents, first save them in an area that the recipient has access to.
-
Open a hit list or a folder window.
-
Mark one or several objects and right-click to open the context menu.
-
Click the E-mail button and select one of the following options from the list:
-
Reference
The marked objects are attached as internal references (see Internal References).
-
Content
The marked objects are attached in the original file format.
-
Content (PDF)
The selected objects are attached as PDF files. If an object cannot be saved in PDF format, the original file is attached.
-
Content (ZIP)
The marked objects are compressed, and the compressed ZIP file is attached.
-
Content (ZIP protected)
You can also add a password to protect the *.zip file. The recipient will then need to use this password to open the file.
-
-
Enter a recipient and subject in the e-mail window.
-
Send the e-mail.
The marked object will be sent according to the option selected above.
Options for Sending E-Mails
When sending an object, you can specify in the Options window whether to use the index data as an identifier for the file or for the reference (see Document Type Options). The window can be opened by selecting Options from the context menu of the document type in the object search. If you select Use indexing for external sending, index data will be used to identify the document. The length is restricted to 100 characters. Character that the operating system identifies as invalid for file names will be removed. If a document contains more than one file, a counter will be appended, beginning with the second file. You can specify which entries are used in the ENAIO ribbon tab > Settings > Fields > Send (see Default settings for sending).
Sending Objects Using the Clipboard
You need the Client: Send content as e-mail system role for the Clipboard action.
Select Action > Clipboard from the context menu to copy an internal reference to an object and, in the case of documents, additionally the document itself in its original format or as PDF to the clipboard. From there, you can paste it into applications, e.g., an e-mail window. The objects can also be copied to the Favorites portfolio and in the record of a workflow.
