You can use the Windows module to create Windows documents. Windows documents (W-Documents) are documents created using Windows programs such as Microsoft Excel or Word. You can create, manage, and edit these documents in enaio®.
When creating a W-Document, the video module will open after indexing is completed. You can create the document the same way as you normally would and save it afterwards under the specified name (see Capturing Documents).
Depending on the Windows application, the administrator may provide access to additional features.
You create W-Documents using Microsoft Office 365 in a manner that differs from this description (see Capturing Documents Using enaio® office-365-dashlet).
You can use templates. Templates are files similar to style sheets in Microsoft Word. Templates may contain placeholders. Instead of placeholders, you can also use enaio® data-transfer to insert data sheets entries or content from other documents into your Windows document.
External and Internal W-Programs
The administrator can choose whether to configure the W-program as an external or internal program. External programs run independently from enaio® client, whereas internal programs will be integrated into the program window of enaio® client.
No data can be transferred from W-applications that have been set up as internal applications using enaio® data-transfer .
Importing Documents You Created on Your Own
Documents created outside of enaio® can be easily archived if a W-program has been set up for the program with which the document was previously created.
Drag and drop the document icon from the Windows Explorer to an open folder or register window. enaio® identifies the document type to which the document can be assigned. If there is more than one possible document type, they will be displayed in a list. Select a document type from the list and index the document.
An e-mail attachment can also be dragged and dropped onto an open folder or register window in the same way. For example, a PDF document link in a web browser can be dragged onto a folder or register window in order to import the document into the archive.
enaio® add-ins such as enaio® office-utilities, enaio® Office Add-In NG , or enaio® office-365-dashlet allow you to file documents from applications to the archive with one single click.
Checking W-Documents In
W-Documents will have to be checked in manually or automatically after they have been created. Other users can only edit checked-in documents. W-Documents can only be checked in by the user who checked them out and on the workstation where they were checked out.
Documents that have been checked out by other users can also be checked in again by users with the 'Undo the checkout for others' system role or the 'Supervisor' system role. In this case, please contact your administrator.
