Viewing Search Results in Hit Lists
The result of a search request is shown as a hit list in table form. Hit lists consist of static columns that provide information about object properties, and columns, which contain the index data of the found objects. Hit lists from full-text searches also display a column with a text passage and the search term found within it. These hits are sorted in the hit list according to their quality.
There are various types of hit list in enaio® depending on the type of search:
-
uniform hit lists
The hit list of an object search only contains objects of the type selected for the search. Depending on the type of object search, these can be folders, registers, or documents.
-
mixed hit lists
The hit list of a full-text search may contain a combination of folders, registers, and documents. The descriptions in the column headers change, depending on which object you mark in a mixed hit list.
Static columns contain the name of the object type, as well as icons showing the archiving status, the access status, the presence of notes, and so forth. Which of these columns are shown depends on your settings in the user menu (Changing How Static Columns Are Displayed in Object Lists).
Static columns are also displayed context-specific. This means that no 'Signatures' column will be shown in a hit list of folders or registers, for example, because folders or registers cannot be signed.

The following applies if you are using enaio® mobile:
Hit lists also contain a static column with checkboxes on touchscreen devices in enaio® mobile. These checkboxes are used to select multiple entries in the hit list. As is the case when several hit list entries are selected in enaio® webclient or in enaio® webclient as a desktop application, commands from the context menu are applied to all hit list entries selected when you activate the matching checkbox.
The static column with checkboxes is hidden on smartphones due to the limited screen space available on such devices. It is therefore not possible to select multiple entries in hit lists on smartphones.
The display of tooltips is not supported in enaio® mobile.
Document contents and object properties (index data and basic parameters) of an object marked in the hit list are shown in the preview area.
Click or tap the Details preview icon in the preview area to display the object properties.
Click or tap on the Content preview icon in the preview area to view the document contents.
If your enaio® system is configured accordingly, you can also show the content of a document in the Office 365dashlet in the preview area in enaio® webclient and in enaio® webclient as a desktop application.
The following applies if you are using enaio® mobile:
In enaio® mobile, open the preview area by
- tapping on a document in an object list (e.g., in a hit list, at a filing location, in the favorites area) (single touch).
- selecting an object (for example, folders, registers, and documents) from an object list and clicking the
Show object function in the context menu.
The preview area will then move on top of the workspace.
On smartphones, you can only display the index data of folders and registers by using the Show object function in the context menu.
You can find information on how to use the preview area and the functions it offers in The Preview Area.
The following options are available for opening a filing location:
Users require the Webclient: Open location system role to view a location.
-
Select an object (document, register, or folder) from the hit list whose filing location you want to open.
-
Right-click (enaio® webclient and enaio® webclient as a desktop application) or press and hold (enaio® mobile) to open the context menu.
The context menu can also be opened on smartphones by clicking the
More actions icon found on each line.
-
Click or tap on the
Open location icon in the context menu.
In the case of documents with multiple locations, a list of the existing locations is offered for selection.
The folder view of the filing location of the selected object will open.
-
Select a folder or register from the hit list whose filing location you want to open.
-
Right-click (enaio® webclient and enaio® webclient as a desktop application) or press and hold (enaio® mobile) to open the context menu.
The context menu can also be opened on smartphones by clicking the
More actions icon found on each line.
-
Click or tap on the
Show content icon in the context menu.
The folder view of the filing location of the selected object will open.
Proceed as follows to open the filing location of folders and registers:
- Double-click on the entry in the hit list if you are working in enaio® webclient and enaio® webclient as a desktop application.
- Tap twice on the entry in the hit list if you are working in enaio® mobile on a tablet.
- Tap once on the entry in the hit list (single touch) if you are working in enaio® mobile on a smartphone.
Double-clicking or tapping an entry in a hit list can trigger various actions:
-
Folders or registers
Double-clicking or tapping a folder or register in a hit list opens the location of the clicked object.
-
Documents
Double-clicking or tapping a document in a hit list can trigger various actions, also referred to as default actions. Your administrator determines what action is triggered. Default Actions describes the actions that can be triggered.
Default actions are not supported in enaio® mobile.
The context menu of the individual object in a hit list also offers frequently used editing features, such as Send e-mail,
Start workflow,
Follow-ups, or
Subscribe. Among other applications, this allows you to open the location of the object independently of the default action (such as the action for opening the index data form for editing).
A reduced number of editing features are available in the context menu in offline mode.
The following applies if you are using enaio® mobile on a smartphone:
On a smartphone a truncated object list is displayed due to the limited screen space available on the device.
The display changes if the screen of the mobile device is less than 420 pixels in width or height.
The hit list is structured as follows:
The object type of the list entry is displayed on the left as an icon. The index data of the object returned during the search is located in the middle. On the right, the icon of a More actions menu is shown after each entry.
The maximum amount of index data possible is displayed according to the size of your mobile device’s screen. The index data of the object list that cannot be displayed on a vertical display is hidden. If you rotate your display horizontally, more index data will be displayed.
As a result of this, there are a number of differences when you are using the program on a smartphone:
-
Due to limited screen space, static columns in object lists (e.g., in hit lists, at filing locations, in the variant administration, and elsewhere) are hidden on smartphones. Likewise, the setting options for the static columns are not displayed in the user menu.
-
On smartphones, static columns in object Lists are hidden due to space constraints.
-
Text excerpts (Preview column) and the hit quality (Quality column) are not shown in the hit lists of full-text searches.
areas. Use the toolbar to show all hidden areas at once:
